2. Follow-Ups Sheet

This sheet is used to track tasks and interactions related to each contact.

Formulas Required (Automated Functions)

  1. Contact ID Auto-generation (Contacts sheet): =CONCAT("CNT", TEXT(ROW()-1,"000")) This formula generates a unique ID like CNT001 starting from Row 2.
  2. Follow-Up ID Auto-generation (Follow-Ups sheet): =CONCAT("FUP", TEXT(ROW()-1,"000")) Creates FUP001, FUP002, etc., for consistency.
  3. Automated Status Update (Follow-Ups sheet): =IF(TODAY() > [Date Scheduled], "Overdue", IF([Date Scheduled] = TODAY(), "Today", "Pending")) Flags tasks as Overdue, Today, or Pending based on current date.
  4. Count of Active Contacts (Dashboard): =COUNTIF(Contacts!$J$2:$J$100,"Active") Displays number of active clients.
  5. Last Contacted Date (Dashboard - Summary): =MAX(Contacts!$H:$H) Shows the most recent interaction date across all contacts.

Conditional Formatting Rules

  1. Overdue Follow-Ups: Highlight rows in red if "Status" is "Overdue" (using conditional formatting rule on the Status column).
  2. Last Contacted Column: Apply color scale to show dates: green (within last 30 days), yellow (31–60 days), red (>60 days).
  3. Contact Status: Color-code status cells—green for "Active", gray for "Inactive", orange for "On Hold".

User Instructions

  3. Update Status: After an interaction, return to the Contacts sheet and update "Last Contacted (Date)" and optionally change Status.
  4. Use Dashboard: The Dashboards sheet updates automatically. Check it weekly to monitor activity trends and overdue tasks.
  5. Export or Print: Use Excel’s print options to generate a printable contact list or follow-up schedule for meetings.
