Tailored for home use, this template provides an organized, user-friendly system to track personal or household electronics, tools, office supplies, and other essential devices. Sheet Names

  • Equipment List: Main sheet containing all equipment details.
  • Categories & Statuses: Reference sheet for dropdown values (e.g., device types, maintenance status).
  • Dashboards & Reports: Visual summaries including charts and filters for quick insights.
  • Log & Maintenance History: Optional log to record repairs, replacements, or service dates.

Table Structures and Columns

The primary sheet, Equipment List, is structured as a formal table with the following columns:

Column Name Data Type / Format Description & Purpose
Equipment ID Text (Auto-generated, unique) A unique identifier (e.g., E-001) to track each item. Automatically generated using a formula.
Device Name Text (Required) Name of the equipment (e.g., "Dell XPS 13 Laptop", "Wireless Mouse").
Type Dropdown List (from Categories sheet) Classifies equipment into categories: Electronics, Furniture, Tools, Office Supplies, Audio/Visual, etc.
Purchase Date Date Format (dd/mm/yyyy) Date when the item was acquired. Helps track age and warranty status.
Warranty Expiry Date Format Automatic calculation based on purchase date and warranty period (if known).
Status Dropdown List: In Use, Idle, Repair Needed, Replaced, Lost/Damaged Tracks operational condition and location of each item.
Location (Home) Text/Cell Reference Specifies where the equipment is stored (e.g., "Home Office Desk", "Living Room Cabinet").
Owner / User Text (Optional) Name of person using or responsible for the item (e.g., "Jane Doe", "Family Shared").
Last Maintenance Date Date Format Records when the last checkup or cleaning was performed.
Notes Text (Multi-line) Any additional comments: serial number, purchase price, repair history, etc.

Formulas Required

To ensure accuracy and reduce manual entry, the template includes the following key formulas:

  • Auto-Generate Equipment ID (Column A):
    =TEXT(COUNTA(A:A),"E-000")
This formula auto-increments a unique ID for each new entry in the "Equipment List" table.
  • Warranty Expiry (Column F):
    =IF(AND(E2<> "", D2<> ""), E2 + 365*1, "")
Assuming a 1-year warranty. Adjust based on actual duration stored in "Categories" sheet.
  • Status Aging Indicator (Column G):
    =IF(TODAY()-F2>90, "Maintenance Due", IF(TODAY()-F2>30, "Review Soon", ""))
Flags items needing attention based on maintenance date.
  • Total Inventory Count (Dashboard):
    =COUNTA('Equipment List'!A:A)-1
    Counts total entries (excluding header).
  • Count by Status:
Use COUNTIF to tally items in each status category.

Conditional Formatting Rules

To enhance readability and highlight urgent actions, the following conditional formatting rules are applied:

  • Warranty Expiry (within 30 days):
Format cells with red fill and bold text if TODAY()-F2 <= 30.
  • Status: Repair Needed or Lost/Damaged:
Apply a bright yellow background to emphasize critical items.
  • Age Over 5 Years:
If TODAY()-D2 > 1825, apply a gray tint to indicate older equipment.
  • Last Maintenance Over 1 Year:
Highlight cells with orange if last maintenance exceeds 365 days.

  1. Open the Excel file. Enable editing if prompted.
