Purpose: This Excel template is specifically designed for Administrative Support teams to efficiently plan, monitor, and track daily operations, projects, and recurring administrative tasks using a visual Gantt chart. The Tracking View style ensures that team members can easily identify task progress, deadlines, dependencies, and workload distribution in real-time.
Total Tasks: =COUNTA(B:B)-1 (adjust range as needed)
Conditional Formatting Rules:
Status Color Coding: Apply color scales to the “Status” column: Green for Completed, Yellow for In Progress, Red for Not Started or On Hold.
Overdue Tasks: Highlight rows where Due Date is past today and task is not completed (using a custom formula: =AND(E2"Completed")).
Progress Bars: Use data bars in the "Progress (%)" column to visually represent completion percentage.
Task Start/End Dates: Highlight any task starting before today (past due) with a red border if not marked completed.
User Instructions:
Open the template and save it with your project name.
Add tasks in the “Task List & Details” sheet first, then copy or link them to the Gantt Chart sheet.
Enter Start Date and Due Date. Duration will auto-calculate.
Update Progress (%) weekly or as milestones are met.
Select Status from the dropdown menu: Not Started / In Progress / On Hold / Completed.
Use the “Status Dashboard” to monitor overall project health at a glance.
Update dependencies in the Notes sheet if task sequences change.
