The Report Version emphasizes clarity, visual presentation, and automated insights—making it ideal for regular reporting cycles such as weekly or monthly updates.
SHEET NAMES AND STRUCTURE
The template consists of the following three sheets:
Data Entry (Primary Source): Where users input raw order data.
Dashboard (Report View): A summarized, visually rich report section for client delivery.
Order History & Analytics: An advanced analytics sheet for historical trends and performance metrics.
TABLE STRUCTURES AND COLUMNS
Data Entry Sheet – Order Tracking Table (Main Table)
This table serves as the foundation of data input. Each row represents a unique client order.
Dynamic Chart Series: Used with Excel’s built-in dynamic arrays (e.g., SORT(UNIQUE(...))) for auto-updating charts.
Pivot Table Refresh: All pivot tables in Dashboard and Analytics sheets are set to refresh automatically when the workbook is opened.
CONDITIONAL FORMATTING RULES
To enhance readability and highlight critical data, the following conditional formatting rules are applied:
Overdue Orders: Red fill with white text (for rows where [Due Date] < TODAY() AND status ≠ "Delivered".)
On-Time Delivery Status: Green fill for "Yes", yellow for "On Track", red for "Overdue".
Delivery Time Thresholds: Conditional formatting based on lead time: green if ≤ 5 days, yellow if 6–10, red if >10.
Client Performance Heatmap: In the Analytics sheet, color scales are applied to average delivery times and on-time rates for visual trend identification.
INSTRUCTIONS FOR THE USER
Data Entry: Fill in the "Data Entry" sheet with all new or updated client orders. Ensure consistent formatting (e.g., date format: DD/MM/YYYY).
Update Dates: Always input correct delivery and due dates to maintain accuracy in on-time calculations.
Refresh the Dashboard: After adding new data, press F9 or go to Data > Refresh All to update all formulas and charts.
Schedule Reports: Use the "Dashboard" tab as a client-ready report. Save as PDF before sending for formal delivery.
Export & Archive: At month-end, copy data from "Data Entry" to a new file named with the current date (e.g., OrderTracker_2024-05.xlsx) and archive old records.
