Excel Template for Client Reporting with To-Do List and Tracking View

Purpose: This Excel template is specifically designed for client reporting, combining a dynamic to-do list system with a comprehensive tracking view. It enables consultants, account managers, and project coordinators to efficiently manage client deliverables, monitor progress in real-time, and generate professional reports for stakeholder review. The integration of Client Reporting, To-Do List, and Tracking View features ensures transparency, accountability, and data-driven decision-making across client engagements.

Overview of Template Structure

This Excel workbook contains three primary sheets that work in harmony to provide a seamless client reporting experience:

  • 1. To-Do List (Daily Tracking): The core task management interface where all client-related actions are recorded and updated.
  • 2. Tracking View (Dashboard & Overview): A centralized dashboard showing status summaries, progress metrics, and visual indicators for all client tasks.
  • 3. Client Reporting Log: A historical record of completed tasks, milestone achievements, and client feedback for audit trails and report generation.

Sheet 1: To-Do List (Daily Tracking)

This sheet serves as the daily operational hub for managing client-specific to-dos. It is structured with a clean table format optimized for input, filtering, and status updates.

Table Structure

A: Task ID (Auto) Text/Number (Auto-increment) Unique identifier for each task, generated automatically using a formula.

C: Task Description Text (Short) Brief summary of the action item or deliverable.
D: Due Date Date (DD/MM/YYYY) Deadline for task completion.

H: Actual Completion Date Date (DD/MM/YYYY)Optional. Auto-filled when status changes to 'Completed'.
I: Notes Text (Long) Comments, updates, or context for the task.

Formulas Required

The following formulas are implemented to enhance automation:

  • =IF(ISBLANK(D2), "", IF(TODAY() > D2, "Overdue", IF(TODAY() = D2, "Due Today", "On Time"))) – Calculates due date status.
  • =IF(G2="Completed", TODAY(), "") – Auto-populates actual completion date when task is marked complete.
  • =IF(ROW()=1, "", ROW()-1) (in Task ID column) – Auto-generates sequential IDs starting from 1.

Conditional Formatting

To improve visual tracking, the following rules are applied:

  • Overdue tasks: Red fill with white text for due dates before today.
  • Due Today: Yellow highlight to draw immediate attention.
  • Prioritized Tasks (High): Bold red font and dark red background.
  • Status indicators: Color-coded status cells: Red for "Not Started", Blue for "In Progress", Gray for "On Hold", Green for "Completed".

Sheet 2: Tracking View (Dashboard & Overview)

This is the central reporting hub, offering real-time insights into client task performance and project health.

Key Components:

  • Summary Metrics: KPIs such as Total Tasks, Completed Tasks, Overdue Tasks, On-Time Rate (%), and Pending Assignments.
  • Status Distribution Chart: Pie or bar chart visualizing tasks by status (Completed vs. In Progress etc.).
  • Due Date Forecast: Gantt-style progress indicator showing how many tasks are due within the next 7, 14, and 30 days.
  • Priority Heatmap: Color-coded grid showing task count by priority level and client.

Formulas Used in Tracking View

  • =COUNTIF(To-Do\ List!G:G, "Completed") – Total completed tasks.
  • =COUNTIFS(To-Do\ List!G:G, "In Progress", To-Do\ List!D:D, "<="&TODAY()) – In-progress tasks past due.
  • =ROUND((COUNTIF(To-Do\ List!G:G, "Completed") / COUNTA(To-Do\ List!A:A)) * 100, 1) – On-time completion rate.

Sheet 3: Client Reporting Log

A historical archive that captures task completions, feedback timestamps, and client approvals for audit and reporting purposes. Data is imported from the To-Do List when tasks are marked completed.

Columns:

  • Date of Completion
  • Client Name
  • Task Description
  • Assigned Team Member
  • Status (Always 'Completed')

User Instructions for Effective Use:
