Content Planning Asset Tracking Template – Client View
This Excel template is a professionally designed Client View version of an Asset Tracking system specifically tailored for Content Planning. Designed to empower clients with transparency, clarity, and control over their content assets without exposing internal workflows or administrative complexity, this template serves as a clean, intuitive dashboard that displays the status, progress, and performance of all planned content deliverables. Unlike internal team versions which may contain sensitive metadata or editorial notes, the Client View is sanitized to highlight only what the client needs to know: what’s coming next, what’s been delivered, and how it aligns with strategic goals.
Sheet Names
The template consists of four primary sheets:
- Dashboard: A high-level visualization hub for clients.
- Content Asset Registry: The central table tracking all content assets with detailed metadata.
- Content Calendar: A monthly timeline view of upcoming and completed assets.
- Instructions & Help: Step-by-step guidance for clients to interpret the template.
Table Structures & Columns (Content Asset Registry)
The core data resides in the Content Asset Registry, structured as a dynamic Excel Table named tblAssets. This table contains the following columns:
| Column Name | Data Type | Description |
|---|---|---|
| Asset ID | Text (Unique) | A system-generated identifier (e.g., CA-2024-001) for tracking. |
| Title | Text | <The headline or working title of the content asset. |
| Type | List (Dropdown) | <Category: Blog Post, Video, Infographic, Social Media Post, Ebook, Webinar. |
| Target Audience | Text | <The intended recipient group (e.g., SMB Owners, Marketers). |
| Planned Launch Date | Date | <The scheduled publish or release date. |
| Status | ||
| Owner (Internal) | Text (Hidden in Client View) | |
| Priority | List | |
| Last Updated | Date/Time (Auto) | |
| Link to Asset | Hyperlink | |
| Expected Impact Metric | Number (KPI) | |
| Actual Impact | Number | |
| Content Goal | Text |
Formulas Required
- In the Status column (D), a dropdown list is created via Data Validation using values from a hidden named range.
- The Last Updated column uses: =IF([@[Title]]<>"",NOW(),"") — triggered only when asset title is entered.
- In the Dashboard, the count of "Published" assets uses: =COUNTIFS(tblAssets[Status],"Published")
- The total planned assets per month in the Calendar sheet uses: =SUMPRODUCT((TEXT(tblAssets[Planned Launch Date],"YYYY-MM")=E2)*(tblAssets[Status]<>"Cancelled"))
- A conditional formula in the Dashboard’s “On Track” metric calculates: =COUNTIFS(tblAssets[Status], "Published", tblAssets[Planned Launch Date], "<="&TODAY()) / COUNTIF(tblAssets[Status], "<>Cancelled") — displayed as a percentage.
Conditional Formatting
- Status Column: Green = Published, Blue = Approved, Yellow = In Progress, Orange = Review Pending, Red = Pending.
- Priority: High → Red background; Medium → Light orange; Low → Light gray.
- Planned Launch Date: Dates within 7 days are highlighted in yellow. Past dates with non-Published status turn red to signal delays.
- Impact Gap: In the "Actual Impact" column, cells where Actual < Expected are filled with light red; equal or exceeded = light green.
Instructions for the User (Client)
To use this template:
- Open the Dashboard to see your overall content health. No data entry is required by you — all updates are made internally.
- If you wish to view upcoming content, navigate to the Content Calendar. This displays a clean monthly grid with asset titles and statuses.
- Click any hyperlink in the "Link to Asset" column to preview published or pending content. Do not edit any cells — this is a read-only interface for your convenience.
- To stay informed, check the “On Track” percentage on the Dashboard weekly. A value above 85% indicates strong alignment with planned goals.
- Use the “Content Goal” column to understand how each asset supports your business objectives. For example, if your goal is lead generation, prioritize assets labeled “Lead Capture.”
- If you have questions about an asset or need a change in schedule, contact your account manager — do not modify this file.

Recommended Charts & Dashboards (Dashboard Sheet)
The Dashboard includes three interactive visuals:
- Bar Chart: “Content by Type” — Shows distribution of assets across categories. Helps clients visualize content diversity.
- Gauge Chart: “On Track Performance” — Displays percentage of assets on schedule, updated daily via formula.
- Timeline Gantt (Simplified): A stacked bar chart showing planned vs. actual launch dates for top 10 priority items.
This template transforms Content Planning from a black box into a transparent, client-centric experience. By blending Asset Tracking precision with Client View simplicity, it ensures stakeholders remain informed, confident, and engaged — without technical overload or unnecessary complexity.
