Formulas Required

  • In the Asset Inventory sheet: =COUNTIF(‘Content Calendar’!F:F, “=AssetID”) in column I (Usage Count) to auto-calculate how many times an asset is referenced.
  • In Content Calendar: Use a nested IF formula for Status Color Codes (for conditional formatting logic).
  • On the Dashboard sheet: Use SUMIFS to calculate total assets used per campaign, COUNTIFs for pending tasks per team member, and AVERAGEIFS for average time-to-publish.

Conditional Formatting Rules

  • Content Calendar: Highlight rows with “Urgent” priority in red; “Published” status in green; overdue dates (past publish date) in orange.
  • Asset Inventory: Flag assets marked “Expired” or with licensing due within 7 days using yellow fill.
  • Tasks & Assignments: Highlight overdue tasks (due date before today) in red. Completed tasks in light green.

User Instructions

1. On first use, populate the Team Members list in a hidden ‘Team’ sheet (not visible to users). This ensures consistency across dropdowns.
2. Always assign an Asset ID when creating new content — don’t just type names; use the ID from Asset Inventory for traceability.
3. When publishing content, update its status to “Published” and log the usage in the Usage Log sheet (auto-populates via VLOOKUP).
4. Use “Status Dashboard” weekly: it updates automatically and shows bottlenecks — e.g., if 5+ tasks are blocked for one person, redistribute workload.
5. Never archive an asset without verifying it isn't referenced in the Content Calendar — this prevents broken links or legal risks.
6. All changes must be saved to SharePoint/OneDrive so team members can view live updates.
