Content Status Tracker Sheet:

This sheet uses structured references from the other two sheets and includes: - Total Assets Used This Week: =COUNTA(AssetInventory[Asset ID]) for current week’s linked assets. - Published Content Count: =COUNTIFS(ContentCalendar[Status],”Published”,ContentCalendar[Date],”>=”&TODAY()-7) - Average Time to Publish (Days): Calculated based on Date Created to Published date differences. - Asset Utilization Rate: % of assets used vs. available.

Formulas Required

  • In Content Calendar, the “Status” column uses data validation with a list: Draft,Reviewing,Approved,Scheduled,Published,Archived.
  • The “Asset ID(s)” column is validated using Excel’s Data Validation > Custom Formula: =AND(ISNUMBER(SEARCH(“AS-”,A2)),COUNTIF(AssetInventory[Asset ID],TRIM(MID(SUBSTITUTE(A2,”,”,REPT(” “,100)),ROW(INDEX(A:A,1):INDEX(A:A,LEN(A2)-LEN(SUBSTITUTE(A2,”,”,””))+1))*100-99,100)))> 5)
  • In Asset Inventory: =TODAY() in “Last Modified” using VBA or manual update triggers (recommended with a “Refresh Timestamp” button).
  • Weekly Summary Dashboard uses SUMIFS, COUNTIFS, and VLOOKUP to aggregate data from the other sheets.

Conditional Formatting

  • In Content Calendar: Cells with Status = “Published” turn green; Status = “Draft” turn yellow; Status = “Expired” turn red.
  • In Asset Inventory: Files marked as “Expired” have a red background, and those > 1 year old are highlighted in orange with a warning icon.
  • When an Asset ID is referenced but not found in the Asset Inventory, it triggers a yellow border using conditional formatting formula: =COUNTIF(AssetInventory[Asset ID],TRIM(A2))=0

User Instructions

  1. Begin each week by updating the Content Calendar with planned assets and deadlines.
  2. Add new assets to the Asset Inventory BEFORE assigning them to content. Never use untracked files.
  3. Always update “Status” in both sheets when an asset or content piece changes state.
  4. Use the Weekly Summary Dashboard for team standups—review trends and bottlenecks (e.g., too many images unused).
  5. Archive expired assets monthly to keep inventory clean.
  6. Save a copy of this template every Monday as “ContentPlan_YYYY-MM-DD.xlsx” for version control.
