Formulas Required

  • In the Content Calendar, under “Estimated Cost”: =VLOOKUP([@Content Type], BudgetRates!A:B, 2, FALSE) (links to a hidden “BudgetRates” reference table with default costs per content type).
  • In the Budget Tracker, the % Used column: =IFERROR([@Amount]/[@[Budgeted Amount]], 0) to avoid #DIV/0 errors.
  • Remaining column: =[@[Budgeted Amount]]-[@Amount].
  • In the Dashboard, total spent: =SUM(BudgetTracker[Amount]).
  • Total budget allocated: =SUM(BudgetTracker[[#Headers],[Budgeted Amount]]:[@[Budgeted Amount]]) (sum of header row).

Conditional Formatting

  • In the Budget Tracker, apply red fill to any cell in the “% Used” column where value > 90%.
  • Apply yellow fill for values between 70–89%, green if below 70%.
  • In Content Calendar: Highlight rows where “Status” is “Published” with light blue background. Flag any row with actual cost exceeding estimated cost by more than 25% in red text.

Instructions for the User

  1. Set Your Total Budget: In the Budget Tracker sheet, enter your total monthly or quarterly budget under each category (e.g., $1,000 for Tools & Software).
  2. Add Content Ideas: Go to the Content Calendar and fill in planned posts using dropdowns for Type and Status.
  3. Track Actual Spend: After paying for an item (e.g., stock photo, freelance writer), enter it in Budget Tracker with date and amount.
  4. Update Costs: As content is produced, update the “Actual Cost” column in Content Calendar.
  5. Review Dashboard Weekly: Check the pie charts and progress bars to see if you’re overspending on video vs. blog content, for example.

Recommended Charts & Dashboards

The “Dashboards” sheet includes two essential visualizations:

  • Pie Chart: “Content Type Spending Breakdown” – Shows percentage of total spend by content type (e.g., 40% on videos, 30% on blogs). Helps identify cost-heavy areas.
  • Horizontal Bar Chart: “Budget Utilization by Category” – Compares actual spend vs. budget for each category with percentage labels.
  • KPI Summary Box – Displays total spent, % of overall budget used, remaining balance, and average cost per content piece.
