Billing & Invoicing Sheet

A simple ledger that auto-populates from the Cash Flow Tracker. It includes:
  • Invoice # (Auto-numbered)
  • Client Name
  • Date Issued
  • Due Date
  • Total Amount Due
  • < li>Status (Draft, Sent, Paid, Overdue)

Formulas Required

  • Cash Flow Balance: In cell C1 of Cash Flow Tracker: =SUM(E:E) — this calculates cumulative balance.
  • Predicted Monthly Income: In Dashboard sheet: =SUMIFS(CashFlowTracker!E:E, CashFlowTracker!A:A, ">= "&EOMONTH(TODAY(),-1)+1, CashFlowTracker!A:A, "<= "&EOMONTH(TODAY(),0), CashFlowTracker!B:B,"Income") — sums income for current month.
  • Revenue Linked to Content: In Content Calendar: =SUMIFS('Cash Flow Tracker'!E:E,'Cash Flow Tracker'!F:F,A2) — pulls total payments associated with a specific content item via the “Linked Content ID.”
  • Status Color Trigger: Used in conditional formatting to highlight overdue invoices or pending payments.

Conditional Formatting Rules

  • Content Calendar: Cells with “Status = In Progress” and “Paid? = No” turn yellow (urgent reminder).
  • Cash Flow Tracker: Any expense over $100 in “Marketing” or “Software” category highlighted in orange.
  • Billing Sheet: Rows where Status = Overdue turn red, Paid turns green.

User Instructions

  1. Start by entering your planned content calendar for the next 30–90 days in the Content Calendar sheet. Use dropdowns to select types and platforms.
  2. As you complete work or receive payments, update the “Status” and “Estimated Revenue” fields.
  3. In Cash Flow Tracker, log every income (client payments) and expense (tools, subscriptions) as they occur. Always link income to the corresponding Content Calendar row using the ID column.
  4. Use Billing & Invoicing to generate professional invoices automatically—just fill in client details; totals pull from Cash Flow Tracker.
  5. Check the Dashboard daily: it visualizes your cash position and content workload balance. Aim for 70%+ of content pieces to be “Paid” before publishing.

Example Rows

Content Calendar:
04/15/2024 | Blog | “10 SEO Tips for Freelancers” | Finalized | Blog | Client A | Yes | $350 | Cash Flow Tracker:
04/16/2024 | Income | “Client A - SEO Blog Post”| Client A| $350.00| Content Creation| 12 | Billing Sheet:
INV-2024-017 | Client A | 04/15/2024 | 04/30/2024 | $350.00 | Paid

Recommended Charts & Dashboards

The “Dashboards & Charts” sheet contains three dynamic visualizations:
  1. Cash Flow Trend Line: Shows daily balance over the past 6 months. Helps identify income patterns and cash crunches.
  2. Content Revenue by Type: Pie chart comparing earnings from Blog, Social, Video, etc.—helps prioritize high-yield content formats.
  3. Status vs Payment Overlay: Bar graph comparing number of “Finalized” items versus “Paid” items. A gap here signals delayed payments or cash flow risk.
This template isn’t just a spreadsheet—it’s your financial compass as a freelancer. By fusing content planning with real-time cash flow tracking, you eliminate the stress of unpaid work, forecast income accurately, and build sustainable creative habits. Use it daily to transform your freelance career from chaotic to profitable.
