Sheet Names
- Main Planner – The central hub where weekly content tasks are entered and tracked.
- Content Calendar – A monthly overview with color-coded deadlines and publishing status.
- Tasks Library – A reusable database of common content tasks for quick selection.
- Statistics Dashboard – An automated summary of completed tasks, productivity trends, and completion rates.
Table Structures & Columns
The Main Planner contains a dynamic weekly table with the following columns:
| Column Name | Data Type | Description |
|---|---|---|
| Date (Mon–Sun) | Date | Automatically populated for the selected week using Excel’s DATE functions. |
| Content Type | Drop-down list | |
| Topic Title | Text | User-entered title of the content piece. |
| Assigned To | Text / Drop-down | |
| Status | Drop-down list | |
| Deadline | Date | |
| Est. Hours | Number (decimal) | |
| Actual Hours | Number (decimal) | |
| Prioritized? | Yes/No |
Formulas Required
- Date auto-population: =TODAY()-WEEKDAY(TODAY(),2)+1 (for Monday) and +1 to +6 for subsequent days.
- Status color logic: Uses INDEX-MATCH against the “Tasks Library” to auto-fill content type duration averages.
- Total Hours tracked: =SUM(Est. Hours column) and =SUM(Actual Hours column) displayed at bottom of table.
- Completion Rate: In the Statistics Dashboard: =COUNTIF(Main Planner!Status Column, “Published”)/COUNTA(Main Planner!Status Column)
- Prioritized Tasks Count: =COUNTIF(Prioritized? column, “Yes”) used for focus metrics.
Conditional Formatting
The template leverages dynamic conditional formatting to improve visual clarity:
- Status column: Green = Published, Blue = Approved, Yellow = In Progress, Gray = Not Started.
- Prioritized tasks: Bold red border around entire row when “Yes” is selected.
- Overdue tasks (Deadline < TODAY()): Red background in Date and Status columns.
- Est. vs Actual Hours: If Actual Hours > Est. Hours by 30%+, highlight cell in orange to flag inefficiencies.

How to Use:1. Open the template and select your desired week in Cell B1 on Main Planner (use date picker or manual entry).
