Excel Template for Content Planning | Client Management | Client View

This comprehensive Excel template is specifically engineered to support Content Planning within a professional Client Management framework, optimized for the Client View. Designed for marketing agencies, content teams, and freelance professionals managing multiple clients, this template empowers users to visualize, track, and align client-specific content strategies with business goals—all from a single intuitive dashboard. The structure is modular yet cohesive: each sheet serves a defined purpose while maintaining real-time synchronization across data points. This ensures transparency for internal teams and clarity for clients during reviews.

Sheet Names

  • Client Dashboard – Central hub summarizing key metrics, deadlines, and content performance.
  • Content Calendar – Monthly/quarterly scheduling grid for all client content assets.
  • Client Profiles – Static reference data for each client: goals, brand guidelines, contact info.
  • Content Tracker – Detailed row-by-row log of published and scheduled content with status flags.
  • KPI & Analytics – Aggregated metrics linked to external tools (Google Analytics, Meta Insights) for ROI tracking.
  • Feedback Log – Client comments, revisions, and approval statuses per content piece.

Formulas Required

  • In the Client Dashboard: =COUNTIFS(ContentTracker!$E:$E, "Published", ContentTracker!$B:$B, A2) → Counts published content per client.
  • =VLOOKUP(B2, ClientProfiles!$A:$G, 6, FALSE) → Pulls brand tone from Client Profiles into Content Calendar.
  • =IF(TODAY() > E2, "OVERDUE", IF(TODAY() = E2, "DUE TODAY", "")) → Flags upcoming deadlines in red using conditional formatting triggers.
  • =SUMPRODUCT((ContentTracker!$E:$E="Published")*(ContentTracker!$B:$B=A3)*(ContentTracker!$H:$H=1))/COUNTIFS(ContentTracker!$B:$B,A3) → Calculates % of prioritized content published per client (Client View KPI).

Conditional Formatting

  • Status Column: Red = Rejected, Yellow = Pending/In Draft, Green = Published.
  • Date Column: Highlight cells where date is within 3 days of today in orange; past dates (overdue) in red.
  • Client ID Row: Each client gets a unique light background color (via “New Rule” → Use Formula =MATCH($B2,UniqueClientList,0)=ROW()) for visual segmentation.

User Instructions

STEP 1: Begin by populating the Client Profiles sheet with all active clients. Use dropdowns to ensure consistency.

STEP 2: In the Content Calendar, enter each planned content piece using Client ID to auto-link profiles. Use dropdowns for Type and Status.

STEP 3: Update the Content Tracker after publication with metrics: views, clicks, shares (if available). The Dashboard will auto-update.

STEP 4: Use the Feedback Log to document client comments. Attach files via hyperlink if needed.

Critical Tip: Never edit data in the Client Dashboard or KPI sheets directly—these are outputs only. All inputs must originate in Content Calendar and Client Profiles.

Client View Feature: To share with clients, hide all internal sheets (Owner, KPI Analytics). Only expose: Client Dashboard, Content Calendar (filtered to their ID), and Feedback Log. Use Excel’s “Protect Sheet” feature to lock formulas while allowing client edits in designated cells.

Recommended Charts & Dashboards

The Client Dashboard must include:

  • Pie Chart: Content Type Distribution per Client (e.g., 40% blogs, 30% videos).
  • Bar Chart: Monthly Content Volume by Client – compare output across clients.
  • Gauge Chart: % of Prioritized Content Published (target: ≥90%) – critical for client trust.
  • Timeline View: Gantt-style bar chart showing content schedule over next 90 days, color-coded by client and status.

This template transforms raw data into strategic insight. For the Content Planner, it ensures alignment across deadlines and resources. For the Client Manager, it centralizes accountability and progress tracking. And for the Client View, it delivers a clean, professional, transparent snapshot of value delivered—turning content execution into a compelling success story.
