Data Types:

  • Entry ID: Text (auto-generated via =CONCAT("CNT",ROW()-1))
  • Client ID: Dropdown from Client Directory [Client ID column]
  • Client Name: VLOOKUP formula pulling from Client Directory
  • Title, Notes/Links: Text
  • Type: Dropdown list (Blog Post, Email Newsletter, Social Media Post, Video Script, Ebook)
  • Publish Date: Date format
  • Status: Dropdown list (To Do / In Progress / Pending Approval / Completed)
  • Assigned To: Text

FORMULAS REQUIRED

  1. Client Name auto-fill: In column C of Content Calendar, use =IF(B2="","",VLOOKUP(B2,'Client Directory'!A:B,2,FALSE)) to pull the client name based on Client ID.
  2. Client ID Auto-Generation: In Client Directory row 2: =CONCAT("CL",TEXT(ROW()-1,"000")) and drag down.
  3. Status Count Summary: In Status Dashboard, use COUNTIF to count total "Completed" entries per client for quick reporting.
  4. Deadline Alerts: Use =IF(TODAY()>E2 AND F2<>"Completed","OVERDUE","") in column G to flag missed deadlines.

CONDITIONAL FORMATTING

  • Status Column (Content Calendar): Green for "Completed", Yellow for "In Progress", Orange for "Pending Approval", Gray for "To Do".
  • Publish Date: Red fill if date is past today AND status is not “Completed”.
  • Client Directory - Status: Green = Active, Red = Inactive, Orange = Paused.

INSTRUCTIONS FOR THE USER

  1. Add Clients: Enter new clients in the Client Directory. Use the dropdowns for Industry and Status to ensure consistency.
  2. Plan Content: In Content Calendar, select a Client ID from the dropdown. The client name will auto-fill. Choose content type, assign team member, set date and status.
  3. Update Regularly: Every Monday or Friday, update statuses to reflect progress. Use the Status Dashboard for quick weekly reviews.
  4. Filter & Sort: Use Excel’s built-in filter (Data > Filter) to sort by client, status, or date. This helps prioritize tasks.
  5. No Formulas Should Be Deleted: The auto-fill and conditional formatting rely on formulas — do not clear cells that contain formulas unless replacing them intentionally.

RECOMMENDED CHARTS OR DASHBOARDS

The Status Dashboard sheet includes:

  • Pie Chart: “Content Types Distribution” — shows how much time is spent on blogs vs. social media vs. emails.
  • Bar Chart: “Completed Content Per Client” — compare activity levels across clients to identify high or low-engagement accounts.
  • Summary Table: Count of tasks per status (To Do, In Progress, etc.) using COUNTIF functions. This helps visualize workload.

The dashboard is intentionally simple — no complex pivot tables or external connections. All data pulls directly from the two main tables. It updates automatically as entries change.

WHY THIS TEMPLATE WORKS FOR CONTENT PLANNING, CLIENT MANAGEMENT & SIMPLICITY

This template merges two critical functions without bloat. The Client Directory ensures you never lose track of who you’re serving — vital for client retention. The Content Calendar aligns deliverables with deadlines so no post gets forgotten. And because everything is built on simple Excel tools (tables, formulas, dropdowns), it requires zero training. New team members can onboard in minutes.

By using conditional formatting and auto-fill features, the template reduces manual errors. By limiting options to essential fields only — no excessive columns or nested logic — it stays true to its “Simple” design philosophy. No one is overwhelmed by complexity; instead, clarity drives productivity.

FINAL NOTE

This template is a living system designed for real-world use. Save a copy monthly and archive old data in separate files to maintain speed and usability. With this Simple yet powerful Excel tool, you’re not just managing content — you’re nurturing client relationships with consistency, transparency, and calm.
