Last UpdatedDate/TimeAuto-populated when any field changes.

Formulas Required

  • In “Content Repository”, cell E2 (and copied down): =TODAY() for "Last Updated" – triggered via VBA or manual entry in practice.
  • “Linked Contact Count” column uses: =COUNTIFS(CRM Contacts!$C:$C, [@Target Persona]) to dynamically link content to CRM contact counts based on persona matching.
  • In “Content Planner Summary”, total published content: =COUNTIF(Content Repository!F:F, "Published")
  • Percentage complete: =COUNTIF(Content Repository!E:E,"Published")/COUNTA(Content Repository!E:E)*100
  • Prioritized Content Ratio: =COUNTIFS(Content Repository!I:I,"Yes",Content Repository!F:F,"Published")/COUNTIF(Content Repository!I:I,"Yes")

Conditional Formatting

  • Status Column: Red = Draft; Orange = Review; Yellow = Approved; Green = Published.
  • Publish Date Column: Highlight in red if date is past due and status ≠ "Published".
  • Prioritized? Column: Gold background if “Yes” and Status is not "Published" to flag high-priority pending items.
  • Linked Contact Count: Color scale from light blue (low) to dark blue (high) to visually show content reach potential.

User Instructions

  1. Begin by populating the “CRM Contacts” sheet with your customer segments, ensuring each contact has a defined Persona field.
  2. In “Content Repository”, use dropdowns (Data Validation) for Type, Status, Channel, and CRM Lead Stage to maintain consistency.
  3. Update the Publish Date and Status daily. The dashboard auto-refreshes upon data change.
  4. Add new content entries at the bottom of “Content Repository”. Formulas will auto-populate Linked Contact Count and Last Updated.
  5. Use filters on the “Content Planner Summary” sheet to view by persona, channel, or status. Do NOT edit charts – they are linked to source data.
  6. Weekly: Review the “Status Log” sheet for audit trail. Use it during team syncs for accountability.
