  • In Inventory_Stats:
    • =COUNTIF(Equipment_List!G:G, "Available") — Counts available equipment.
    • =SUMIF(Equipment_List!G:G, "Available", Equipment_List!H:H) — Total value of available gear.
    • =AVERAGEIFS(Equipment_List!I:I, Equipment_List!G:G, "<>Retired") — Average equipment age in days.
  • In Content_Calendar:
    • =IF(TODAY()>=Start_Date, "Active", IF(TODAY()>End_Date, "Completed", "Scheduled")) — Auto-updates project status.

Conditional Formatting

  • Equipment_List: Rows with Status = “Under Repair” highlight in orange; rows over 5 years old (Purchase_Date) highlight in light red.
  • Content_Calendar: Projects overlapping with more than 3 equipment items flagged in yellow.
  • Usage_Log: If Return_Date is blank and Today > Checkout_Date, row turns bright red to indicate overdue equipment.

User Instructions

For Content Planners: Always update the Content_Calendar first. Use the Definitions sheet to find correct Equipment_IDs before assigning gear. Never edit Equipment_List directly — use the dedicated “New Equipment” form on a protected tab (see hidden tab: Form_Template). Update Usage_Log after every shoot or loan. Do NOT delete rows; mark as “Retired” instead. Always save a backup copy monthly.

Data Version Note: This template is optimized for API ingestion and Power BI integration. Avoid manual styling, merged cells, or images. All data must remain in plain text/number/date formats.
