FORMULAS REQUIRED
In the Equipment Master List, column "Next Service Due" uses:
=IF([@[Last Serviced]]="", "", IF([@Status]="In Use", [@[@Last Serviced]]+30, [@[@Last Serviced]]+90))
(Assumes 30-day cycle for high-use items, 90 for low-use)
In Main Dashboard:
=COUNTIFS(EquipmentMasterList[Status], "In Use") — Counts active equipment.
Used in Usage Analytics to calculate utilization rate per asset:
=COUNTIFS(EquipmentAssignmentLog[Equipment ID], EquipmentMasterList[@[Equipment ID]]) / (TODAY() - EquipmentMasterList[@[Purchase Date]])
To auto-populate project cost from master list in Assignment Log:
=VLOOKUP([@[Project ID]], ContentProjectsTracker, 10, FALSE)
CONDITIONAL FORMATTING
Equipment Master List: Status = "Under Maintenance" → Yellow fill; Status = "Retired" → Gray fill; Next Service Due within 7 days → Red bold text.
Content Projects Tracker: Priority = “Yes” and Status ≠ “Completed” → Green border.
Assignment Log: Date Returned blank AND assigned over 14 days ago → Red highlight to trigger follow-up alerts.
INSTRUCTIONS FOR THE USER
Update Master List First: Always add new equipment to the "Equipment Master List" before assigning it to a project.
Create Project First: Define your content campaign in “Content Projects Tracker” and include all required equipment IDs before logging assignments.
Log Every Assignment: Every time gear is checked out, record in "Equipment Assignment Log" — this ensures auditability and loss prevention.
Return & Condition Check: Upon return, update the “Date Returned” and select condition from dropdown. Damaged equipment triggers auto-alert to maintenance team via conditional formatting.
Weekly Review: Open the Main Dashboard every Monday to assess bottlenecks — e.g., if 80% of cameras are assigned, consider renting or purchasing more.
