Formulas Required
- In the Equipment Master List, column “In Stock”:
=Total Quantity - SUMIFS(Log&History!$F:$F, Log&History!$B:$B, EquipmentID) - Maintenance Due? (if last check-in > 90 days ago):
=IF(TODAY()-Last Checked In>90,"Yes","No") - On Weekly Planner, to auto-fill equipment type from Master List: Use VLOOKUP or XLOOKUP on Required Equipment IDs to pull Type and Brand.
- Status Color Indicator: Combine conditional formatting with formula-based logic for real-time alerts.
Conditional Formatting
- Red background: If “Status” is “Cancelled” or if “In Stock” = 0 on Master List.
- Yellow background: If Maintenance Due? = Yes.
- Green highlight: On Weekly Planner, if Prioritized? = Yes and Status = Confirmed.
- Bold text: For any equipment assigned to multiple shoots in the same week (detected via COUNTIF).
User Instructions
How to Use This Template:
- Start by populating the Equipment Master List with all your gear. Assign unique IDs and update quantities.
- Each Monday, open the Weekly Planner and fill in planned content for the week.
- In the “Required Equipment (ID)” column, type or select equipment IDs from dropdowns created using Data Validation.
- The template will automatically check availability via the master list. If equipment is overbooked (In Stock < 0), a red alert appears.
- Update the Status column as projects progress. Use “Booked” when confirmed, “Cancelled” if scrapped.
- After each shoot, log check-out and check-in dates in the Log & History sheet using the provided form layout.
- Check the Status Dashboard daily for real-time insights on equipment utilization rates and upcoming maintenance needs.
