  • Task List — The backend data source where all content tasks are entered and managed.
  • Client Summary — A summary view showing client-wise workload, deadlines, and revenue impact.
  • Resources & Notes — A reference sheet for team members (if any), deadlines, holidays, and style guides.

Table Structures & Columns

The Task List sheet contains the following structured columns with defined data types:

Planned end date (manual input or calculated using duration).
Auto-calculated using =F2-E2+1.
Status tracker for visual workflow.

Formulas Required

  • Duration (Column G): =F2-E2+1 — Calculates total working days between Start and End Date.
  • Gantt Bar Calculation (Main Gantt Sheet): Uses nested IF and DATE functions to populate a horizontal bar based on Start/End dates against a daily column header row.
  • Status Color Indicator: =IF(H2="Completed","✅",IF(H2="Review","⏳",IF(H2="In Progress","🚧","☐"))) — Provides visual icons.
  • Overdue Alert: =IF(AND(J2"Completed"),"⚠️ OVERDUE!","") — Flags tasks past client deadline.

Conditional Formatting

  • Priority Colors: High = Red fill, Medium = Yellow, Low = Light Green.
  • Status Icons: Green fill for "Completed", Blue for "In Progress", Gray for others.
  • Overdue Tasks: Bright red background and bold text on any row flagged with “⚠️ OVERDUE!”
  • Gantt Chart Bars: In the Main Gantt sheet, cells that represent active task days are filled blue — creating a classic Gantt bar visualization.

Instructions for the User

  1. Begin by entering your clients and content types in the Task List sheet.
  2. Fill in Start Date, End Date, and Client Deadline for each task. The Duration column updates automatically.
  3. Select Status and Priority from dropdown menus (enabled via Data Validation).
  4. Switch to the Main Gantt Chart sheet to see your timeline visualized — it auto-updates as you edit Task List.
  5. Check the Client Summary for workload balance. Avoid overbooking by ensuring no client has more than 3 active tasks at once (color-coded).
  6. Update Status regularly. The Gantt chart and summary sheets update in real-time.
  7. Use Resources & Notes sheet to store templates, links, or brand guidelines.
