Sheet Names

- Dashboard: Summary metrics including task status by type, progress overview, and team workload.
- Reference: Contains lookup tables (e.g., content types, priority levels) and formatting rules used across sheets.
Table Structure & Columns (Data Input Sheet)
The Data Input sheet contains a structured table with the following columns:| Column | Data Type | Description |
|---|---|---|
| A: Task ID | Number (Auto-increment) | Unique identifier generated via formula. |
| B: Content Title | Text | Title of the content piece (e.g., “April SEO Blog Post”) |
| C: Content Type | Dropdown (Blog, Video, Social, Email, Podcast) | Categorizes content format using data validation. |
| D: Owner | Text / Dropdown | Name of responsible team member (e.g., Jane Doe). |
| E: Start Date | Date (MM/DD/YYYY) | <When work begins on this task. |
| F: End Date | Date (MM/DD/YYYY) | <When task is due for publication/launch. |
| G: Status | Dropdown (Not Started, In Progress, Review, Completed) | Real-time tracking of workflow stage. |
| H: Priority | Dropdown (Low, Medium, High) | <Determines visual highlighting in Gantt Chart. |
| I: Notes | Text | Additional instructions or links to assets. |
Formulas Required
- In Column A (Task ID):
=ROW()-1(to auto-generate IDs starting from 1 after the header). - In Content Planner sheet, to calculate task duration:
=IF([@End Date]="","",[@[End Date]]-[@[Start Date]]+1) - To populate Gantt bars dynamically: Use conditional formatting with formula-based rules referencing start and end dates against a horizontal date grid (columns B–AF representing days of the month).
- Dashboard summary metrics use
SUMPRODUCTandCOUNTIFSto calculate tasks by status, owner, or content type. Example: Count completed blog posts:=COUNTIFS(Data Input!$C:$C,"Blog",Data Input!$G:$G,"Completed") - Date grid generation in Content Planner uses a dynamic array formula (Excel 365):
=SEQUENCE(1,DAYS(EOMONTH(TODAY(),0),EOMONTH(TODAY(),-1))+1,EOMONTH(TODAY(),-1)+1)
Conditional Formatting
The Content Planner sheet features a day-by-day grid (B3:AF50) where each cell represents a date. Conditional formatting rules apply:
- Green bar for completed tasks: Cell fills green if current date is between Start and End Date AND Status = “Completed”.
- Blue bar for active tasks: Fills light blue if within date range AND status is “In Progress” or “Review”.
- Red highlight for overdue tasks: Cell turns red if End Date is before today AND Status ≠ “Completed”.
- Priority-based shading: High priority = dark color; Medium = medium shade; Low = light tint. Uses nested formula conditions linked to the Priority column.
User Instructions
- Add new content items: Enter data into the Data Input sheet. Do not modify cells in Content Planner directly—it auto-updates from this source.
- Update status daily: Change “Status” column as work progresses to keep the Gantt Chart accurate.
- Filter by owner or type: Use Excel filters on Data Input to view only specific team members or content types. The Gantt Chart reflects all filtered data.
- View Dashboard: Check the Dashboard sheet weekly for KPIs like % of tasks completed, bottlenecks by owner, and content type distribution.
- Print or export: Use Page Layout to adjust scaling. Recommended: Print in Landscape mode for full monthly view.
- Template reset: To clear old data without losing formatting, delete rows in Data Input (not columns) and re-enter new tasks.
