Formulas Required
- In the “Asset Inventory” sheet, column “Usage Count”:
=COUNTIF(ContentCalendar[Content ID], [@Content ID]) to auto-count how many content items use this asset.
- In the “Status Tracker” sheet: conditional formula to auto-update status based on publish date and today’s date using
=IF(TODAY()>[Planned Publish Date],"Overdue",IF([Status]="Published","Live","Pending")).
- Auto-populate "Content ID" in Asset Inventory via VLOOKUP:
=VLOOKUP([@Asset ID], ContentCalendar[[ID]:[Title]], 1, FALSE).
- Draft status counter:
=COUNTIFS(ContentCalendar[Status],"Draft") for dashboard summaries.
Conditional Formatting Rules
- Content Calendar: Highlight rows where “Planned Publish Date” is past due in red; upcoming within 3 days in amber.
- Asset Inventory: Flag assets with “Expiry Date” passed or within 7 days as red. Highlight assets with “License Status” = Licensed as blue for legal alerts.
- Status Tracker: Color-code status column: Green (Published), Yellow (Review/Draft), Red (Overdue).
Instructions for the User
- Begin by populating the “Content Calendar” with all planned content, including deadlines and owners.
- Add associated digital assets in the “Asset Inventory,” linking them to a Content ID. Use file paths or cloud links for accessibility.
- Update the “Status” column daily as items progress. The dashboard will auto-refresh.
- Do not delete rows; archive obsolete entries instead by changing Status to "Archived".
- Review the “Dashboards” sheet weekly to monitor bottlenecks, asset overuse, or expired licenses.
- All team members should have read/write access. Lock protected sheets with password if needed (password: office2024).
