CONDITIONAL FORMATTING
- Publish Status = Draft: Light yellow fill.
- Publish Status = Published: Light green fill.
- Publish Status = Archived: Light gray fill with strikethrough text.
- Status Rating = Low: Red text on light orange background.
- Age > 12 months and Reuse Frequency ≠ “Never”: Bold red border around row – alerts user to review or refresh.
- Publish Date (Planned) is within next 7 days: Light blue highlight.
INSTRUCTIONS FOR THE USER
- Start with the Guidelines sheet: Read the instructions before using this template. It explains how to add new content, update status, and use dropdowns.
- Add content in Content Inventory: Fill out all required fields. Use dropdowns to ensure consistency.
- Update regularly: After publishing or revising any asset, change the “Publish Status” and “Last Updated” date automatically via formula.
- Prioritize using Dashboard: The Status Dashboard shows real-time counts and charts. Focus on "High" rated content that’s outdated.
- Search using filters: Use the dropdown arrows in each table column to filter by platform, type, or owner.
- Delete or archive old content: If a piece of content is no longer relevant and has low reuse value, change status to “Archived.”
- Back up your file weekly: Although simple, this template holds critical planning data—save copies to OneDrive or Google Drive.
