Conditional Formatting

  • Status Column:
    • Out of Stock: Red fill with white text.
    • Low Stock: Amber/yellow fill with dark text.
    • Ready / In Production: Light green and light blue respectively.
  • Remaining Units: Cells with values ≤ Reorder Threshold are highlighted in bold red font.
  • Date Expiry: If Expiry Date is within 7 days, cell turns orange. If expired, it turns red with strikethrough.

User Instructions

  1. Begin by populating the Settings sheet with your content types, team names, and default reorder thresholds.
  2. In the Content Inventory sheet, add each content asset. Ensure you input accurate Total Units and Assigned Campaigns to maintain alignment between inventory and planning.
  3. The template automatically updates the Status column based on Remaining Units—no manual entry needed for status.
  4. When a piece of content is published, increase the “Used Units” value in its row. The system will reduce Remaining Units accordingly.
  5. If an asset reaches Low Stock or Out of Stock, a replenishment request should be initiated via the Replenishment Log sheet. Use the dropdown to select content and assign responsibility.
  6. Update the Content Calendar by linking published dates to corresponding IDs. The system will auto-display titles on their respective calendar days.
  7. Review the Dashboards weekly for insights into asset utilization, bottlenecks, and expiration risks.
