Formulas Required

  • ID Column: Uses a custom formula to auto-generate sequential IDs: =“CP-”&TEXT(ROW()-1,”000”) (entered in cell A2 and dragged down).
  • Status Overview sheet uses COUNTIFS functions to dynamically count content items by status, type, and priority. Example: =COUNTIFS('Content Inventory'!F:F,"Published",'Content Inventory'!D:D,"Blog")
  • Publish Date Validation: Conditional formatting (see below) highlights dates in the past that are still marked as “Draft” or “Review.”
  • Status Overview also includes a total count formula: =COUNTA('Content Inventory'!A:A)-1 to exclude header.

Conditional Formatting Rules

  • Status Color Coding:
    • Idea/Draft: Light Yellow (#FFF9C4)
    • Review: Orange (#FFCC80)
    • Approved: Light Green (#C8E6C9)
    • Published: Blue (#BBDEFB)
    • Delayed: Red (#FFECB3 with red text)
  • Past Due Alerts: If Publish Date is earlier than today AND Status is not “Published,” the entire row turns red to indicate overdue content.
  • Priority Highlighting: High priority rows have a bold border and yellow background for visual urgency.

User Instructions

How to Use This Template:

  1. Open the “Content Inventory” sheet and begin logging your content ideas in new rows.
  2. Select dropdown values from predefined lists (under Data > Data Validation) for Type, Channel, Status, and Priority — do not type manually to avoid inconsistencies.
  3. Update the Publish Date as your calendar changes. The system will automatically flag delays.
  4. Check the “Status Overview” sheet daily for a snapshot of workflow health.
  5. Use the “Guidelines & Instructions” sheet for reference on best practices and troubleshooting.
  6. Do NOT delete or rename columns — this breaks formulas and formatting. Add new content by copying an existing row or inserting below the last entry.
