Simple Content Planning Inventory Template

This Simple Content Planning Inventory Template is a streamlined, user-friendly Excel workbook designed to help marketers, content creators, and small business owners track, organize, and manage their content assets with clarity and efficiency. As an Inventory Template, it functions as a centralized hub for all digital content — blog posts, social media assets, videos, newsletters — allowing users to visualize what’s been created, what’s pending approval or publication, and what needs updating. The “Simple” design philosophy ensures accessibility for non-technical users: no macros, no complex pivot tables; just clear columns, intuitive formulas, and visual cues that require minimal training.

Sheet Names

The template contains three clearly labeled sheets:

  • Content Inventory – The primary data entry sheet where all content assets are logged.
  • Status Dashboard – A read-only summary view with charts and KPIs for quick insights.
  • Instructions & Tips – A reference guide for new users, including examples and troubleshooting notes.

Table Structure & Columns (Content Inventory Sheet)

The main table on the “Content Inventory” sheet consists of 10 columns with defined data types:

Column Data Type Description
IDNumber (Auto-increment)Unique identifier automatically generated.
TitleTextName of the content asset (e.g., "10 Tips for Small Business SEO").
TypeDropdown (Text)Content format: Blog, Video, Social Post, Email, PDF Guide.
PlatformDropdown (Text)Distribution channel: Website, LinkedIn, Instagram, YouTube, Newsletter.
Publish DateDatePlanned or actual publication date.
StatusDropdown (Text)Options: Draft, In Review, Approved, Scheduled, Published, Archived.
OwnerTextName of the content creator or responsible person.
Last UpdatedDate (Auto-filled)Automatically records when row is modified.
Due in DaysFormula (Number)Calculates days until publish date or overdue status.
NotesMemo (Text)Add brief comments: keywords, links, assets used, etc.

Formulas Required

  • Due in Days: =IF(ISBLANK([@Publish Date]), "", TODAY()-[@[Publish Date]]) — Displays negative numbers if overdue, positive if upcoming.
  • Last Updated: Uses Excel’s built-in volatile function via a simple VBA-free workaround: user presses Ctrl+Shift+U to trigger a macro-free timestamp using Data > Get & Transform (Power Query) or manually by copying and pasting values after entering the formula =NOW(). For true simplicity, we recommend manual entry unless automation is enabled.
  • Auto-ID: Column A uses =ROW()-1 if data starts at row 2 (header in row 1).

Conditional Formatting

To enhance visual scanning:

  • Status Colors:
    • Draft → Light Gray (#f0f0f0)
    • In Review → Yellow (#fff9c4)
    • Approved → Light Blue (#e3f2fd)
    • Scheduled → Orange (#ffecb3)
    • Published → Light Green (#e8f5e9)
    • Archived → Reddish Gray (#eceff1)
  • Due in Days:
    • Negative values (overdue) → Red text
    • Values 0–7 days → Yellow highlight
    • Values >7 days → No highlight
  • Publish Date: If date is more than 30 days in past and status ≠ Published → Highlight entire row in pale red.

User Instructions

How to Use This Template:

  1. Open the “Content Inventory” sheet. Add new content rows by filling in columns from left to right.
  2. Select content type and platform from the dropdown menus (created via Data Validation).
  3. Enter the publish date. The “Due in Days” column updates automatically.
  4. Update status regularly — this drives all dashboard visuals.
  5. Use “Notes” to link files, keywords, or campaign IDs.
  6. To view trends and progress, switch to the “Status Dashboard” sheet. Charts update automatically with new entries.
  7. No formulas or macros should be edited unless you are familiar with Excel. Do not delete column headers.

Recommended Charts & Dashboards (Status Dashboard Sheet)

The “Status Dashboard” includes three simple, auto-updating visualizations:

  • Donut Chart: Shows percentage distribution of content by status. Helps identify bottlenecks.
  • Bar Chart: Displays count of content items by type (Blog, Video, etc.) — useful for resource allocation.
  • Timeline View (Gantt-style): Horizontal bars showing planned publish dates over the next 60 days. Color-coded by status and type.

All charts reference the “Content Inventory” table using structured references (e.g., =COUNTIFS(ContentInventory[Status],"Published")). They update in real-time as data changes.

Why This Template Works for Simple Content Planning Inventory
