Sheet Names
- Content Calendar – The central planning hub where all content items are scheduled with deadlines, formats, and client details.
- Invoices – Tracks generated invoices linked directly to completed or pending content items.
- Client Directory – A reference list of clients with contact info, billing rates, and payment terms.
- Dashboard (Basic) – A visual summary sheet displaying key metrics like total invoiced amount, pending content, and overdue invoices.
Table Structures
The template uses structured Excel Tables (Ctrl+T) for dynamic range expansion and formula consistency. Each sheet contains one main table:
- Content Calendar Table: Columns include Date, Client, Content Type, Description, Status, Due Date, Invoice ID.

- Invoice ID: Text (e.g., INV-2024-001), auto-generated via formula if needed.
- Billing Rate: Currency ($)

- Tax (%): Percentage (e.g., 8.5%) with input validation (0–20%)

Conditional Formatting
- In Content Calendar: Rows with Status = “Completed” are highlighted in light green. Due dates within 3 days turn yellow; past due dates turn red.
- In Invoices: “Overdue” entries (from formula above) have red text and a red background. “Paid” entries have grayed-out text.
- In Dashboard: KPI cards use color scales: green for >80% paid, yellow for 50–79%, red below 50%. Pending content count triggers alert if >10 items.
Instructions for the User
- Set up your clients: First, enter all client details in the Client Directory. This populates dropdowns elsewhere.
- Promote content planning: In the Content Calendar, add each planned asset with its type, deadline, and associated client. Use the Status column to track progress.
- Generate invoices: Once a piece of content is marked “Delivered,” copy its ID to the Invoices sheet under “Content IDs.” The Subtotal auto-calculates using your preset billing rate.
- Add tax and finalize: Enter applicable tax percentage and mark as Paid/Not Paid. Use the dropdowns for consistency.
- Monitor progress: Check the Dashboard weekly to review overdue items, pending invoices, and total revenue tracked.
