Invoices Sheet

This sheet auto-populates when a task’s status is changed to “Billed” on the Content Planner sheet using VLOOKUP and INDEX/MATCH formulas. Columns include:

  • Invoice ID: Auto-generated (INV-YYYYMMDD-001)
  • Date Issued: Today’s date (TODAY() formula)
  • Client Name: Pulled from Content Planner via VLOOKUP
  • Content Title(s): Concatenates all billed tasks for that client in the week.
  • Total Amount: SUM of all “Final Value” entries tied to invoice period.
  • Status: Dropdown (Sent, Paid, Overdue) — triggers conditional formatting.
  • Due Date: Invoice date + 14 days.

Conditional Formatting

User Instructions

  1. Enter client names and hourly rates in the Client Database sheet.
  2. In Content Planner, add new content tasks using dropdowns for Type and Client. Leave “Status” as “Planned” initially.
  3. Update “Actual Hours” when a task is completed. Set status to “Completed”. When ready to invoice, change status to “Billed”. The system automatically creates an invoice entry.
  4. Go to the Invoices sheet and update payment status. No manual data entry required beyond that.
  5. View performance on the Dashboards sheet: monthly revenue trend, top clients by income, content type efficiency (hours vs value).
