Home Use Content Planning Invoice Template for Personal Creators

This Excel template is a specialized Content Planning Invoice designed exclusively for Home Use creators — including bloggers, YouTubers, podcasters, freelance writers, and digital artists — who manage their content production schedule and bill clients or track internal value of their own work. Unlike commercial invoicing tools that focus solely on payments, this template uniquely merges content planning with invoice generation in a single intuitive spreadsheet. It empowers home-based creators to not only plan what they will create over the next 30–90 days but also assign monetary value to each piece of content, track its status, and generate professional-looking invoices — all from the comfort of their home workspace.

Sheet Names

  • Content Planner – The central hub for scheduling content ideas, deadlines, and assigned values.
  • Invoicing Log – Automatically populated with billed items from the Content Planner; used to generate client invoices.
  • Client Directory – Stores client contact details, billing preferences, and payment history.
  • Dashboards – Visual summary of content output, revenue trends, and productivity metrics.
  • Instructions & Tips – Step-by-step guidance with examples and troubleshooting notes.

Table Structures & Columns

The core table in the Content Planner sheet contains the following columns:

Content ID Title Type (Blog/Video/Podcast/etc.) Target Date Estimated Value ($) Status (Draft/In Progress/Ready/Billed)
C-001"10 Morning Routines for Busy Parents"Blog Post2024-05-15$75.00Draft
Client ID (Link) Content Notes / Keywords Billed To Invoice #? Actual Revenue ($) Hours Spent
C-001"10 Morning Routines for Busy Parents"Blog Post2024-05-15$75.00 Client ID (Link) Content Notes / Keywords Billed To Invoice #? Actual Revenue ($) Hours Spent
C-001"10 Morning Routines for Busy Parents"Blog Post2024-05-15

Each column is formatted with appropriate data types: Content ID (Text), Title (Text), Type (Dropdown list: Blog Post, Video, Podcast, Social Media Post, E-book), Target Date (Date format), Estimated Value ($)(Currency with 2 decimals). The column Billed To Invoice #? references the invoice number in the Invoicing Log using a simple VLOOKUP formula. Actual Revenue and Hours Spent are manually updated upon delivery.

Formulas Required

  • Auto-populated Invoice Lines: In the Invoicing Log sheet, a formula using =FILTER(ContentPlanner!A:E, ContentPlanner!G:G="Billed") pulls all content marked as “Billed” into the invoice template.
  • Total Value Calculation: On both Content Planner and Invoicing Log sheets, a SUM formula totals estimated and actual revenue: =SUM(E:E).
  • Status-Based Revenue Tracker: A conditional formula in the Dashboard sheet uses =SUMIFS(ContentPlanner!E:E, ContentPlanner!F:F, "Billed") to calculate total billed revenue.
  • Days Until Deadline: Formula: =TODAY()-D2, displayed with conditional formatting to highlight overdue items in red.

Conditional Formatting

  • Red background: For Content with Target Date passed and Status ≠ Billed.
  • Yellow background: Items due in the next 3 days.
  • Green highlight: All “Billed” entries to signal revenue earned.
  • Bold text for high-value items: Content with Estimated Value > $100 is bolded for priority tracking.

User Instructions

  1. Start by adding your clients to the Client Directory sheet — include name, email, and payment terms (e.g., Net 15).
  2. Plan your content weekly on the Content Planner: fill in title, type, target date, and estimated value based on past client rates.
  3. As you complete content, change Status from “Draft” to “Ready.”
  4. Once delivered and accepted, mark it as “Billed.” The Invoicing Log will auto-update with that item.
  5. Click the "Generate Invoice" button (a macro-enabled form) to export a clean PDF invoice using pre-formatted templates in the Invoicing Log.
  6. Update Actual Revenue and Hours Spent after payment is received for accurate profitability analysis.

Recommended Charts & Dashboards

The “Dashboards” sheet features:

  • A bar chart comparing monthly content output vs. revenue earned (by type).
  • A pie chart showing percentage of revenue per content format (e.g., 45% from videos, 30% from blogs).
  • A line graph tracking weekly hours invested vs. income generated — helping you identify your most profitable content types.
  • A KPI card displaying total billed amount to date and average revenue per piece of content.

This template transforms personal content creation from a chaotic list into a professional, financially accountable system — perfect for home-based creators who want to treat their passion like a business without hiring expensive software. Whether you’re creating recipes for your food blog or editing vlogs in your bedroom, this Home Use Content Planning Invoice Template ensures you never underestimate the value of your work.
