Personal Use Content Planning Invoice Template for Excel
This comprehensive Excel template is designed specifically for personal use creators, bloggers, vloggers, freelancers, and independent content producers who need to plan their content while simultaneously tracking financial invoices related to that content. Unlike generic invoice templates or standalone content calendars, this hybrid solution integrates both Content Planning and Invoicing functionalities into a single streamlined workbook — enabling users to visually map out what they’re creating, when it’s due, and how much they’ve earned from each deliverable. This is not a business-scale template; it's optimized for individual creators managing their own schedules and side-income streams.
Sheet Names
The template contains three core sheets:
- Content Calendar: The central hub for planning content topics, deadlines, platforms, and statuses.
- Invoices Tracker: Tracks all payments received (or pending) for completed content pieces.
- Dashboards: A visual summary sheet featuring charts and KPIs linking content output to revenue.

Formulas Required
- In Content Calendar!H2:H100:
=SUMIFS(Invoices Tracker!F:F, Invoices Tracker!B:B, A2)— Automatically pulls total revenue from invoices linked to each Content ID. - In both sheets: Auto-generated IDs using
=CONCAT("CP-", ROW()-1)(Content Calendar) and=CONCAT("INV-", YEAR(TODAY()), "-", TEXT(ROW()-1,"000"))(Invoices Tracker). - In Dashboards: A pivot table calculates total revenue by Content Type and Status using data from both sheets.
Conditional Formatting
- Content Calendar: Rows with "Published" status turn green; overdue items (Planned Date < TODAY() and Status ≠ Published) turn red.
- Invoices Tracker: Unpaid invoices (Paid? = “No” and Due Date ≤ TODAY()) highlight in orange. Overdue invoices (>7 days past due) turn red.
- Dashboards: Bar chart bars for "Actual Revenue" vs. "Estimated Revenue" use gradient colors — blue if met, red if underperformed.
User Instructions
- Start by entering your planned content in the Content Calendar. Use dropdowns to maintain consistency.
- When a piece is published and you receive payment, record the invoice in the Invoices Tracker — link it using the Content ID.
- The Dashboards sheet auto-updates with charts showing your monthly earnings vs. content volume.
- Use this to identify which content types generate the most ROI (e.g., “Videos yield 3x more than blogs”).
- Update statuses regularly. This template is meant for reflection — not just recording.
