Compact Content Planning Maintenance Log Excel Template

This Compact Content Planning Maintenance Log Excel template is a streamlined, space-efficient tool designed specifically for content creators, digital marketers, and editorial teams managing multiple content assets across platforms. It merges the strategic needs of Content Planning with the operational rigor of a Maintenance Log, all presented in an elegant, minimalist Compact layout that minimizes vertical scrolling while maximizing usability. Perfect for small to mid-sized teams or individuals juggling deadlines, repurposing cycles, and content audits, this template ensures no asset is forgotten and every piece of content remains optimized for performance.

Sheet Names

The template comprises three essential sheets:

  • Content Log: The primary data entry sheet where all content assets are recorded with metadata, deadlines, statuses, and maintenance triggers.
  • Dashboard: A visual summary displaying KPIs such as overdue items, content types by performance, and maintenance frequency trends using dynamic charts.
  • Settings: A hidden (protected) sheet storing lookup lists (e.g., content types, platforms, priority levels) and global variables like "Review Cycle Days" to enable formula-driven automation without cluttering the main log.

Table Structures & Columns

The Content Log sheet uses a single structured table named tbl_ContentLog, with the following 12 columns:

  • =IF(TODAY()>[@[Next Review Due]],"OVERDUE",IF(TODAY()+7>[@[Next Review Due]],"SOON","ON TRACK")) — Status indicator for maintenance urgency.
  • =COUNTIFS(tbl_ContentLog[Status],"Published",tbl_ContentLog[Prioritized?],"Yes") — Counts critical content needing updates.
  • =AVERAGEIF(tbl_ContentLog[Performance Score],">0") — Overall average performance score for dashboard KPI.

Conditional Formatting

  • Next Review Due: Red fill if date is past today; amber if within 7 days.
  • Status Column: Red text for "OVERDUE", orange for "SOON", green for "ON TRACK".
  • Prioritized? = Yes: Bold and yellow background to visually flag high-priority items.
  • Performance Score ≤2: Light red fill to indicate underperforming content ripe for revision.

User Instructions

How to Use:

  1. Enter new content in the first empty row of the "Content Log". Use dropdowns for Content Type, Platform, and Status.
  2. Update "Last Reviewed" and "Maintenance Notes" after any edit. The template auto-updates "Next Review Due".
  3. Check the Dashboard sheet weekly. Red indicators mean action is needed.
  4. Adjust the "Review Cycle Days" in Settings only if your team's content lifecycle changes (e.g., from 90 to 60 days).
  5. Avoid deleting rows — use Status = "Archived" instead.

Tip: Use Excel’s filter function on the Status and Platform columns for quick audits. Pin the Dashboard tab for daily reference.
