  • =TODAY(): Used in the dashboard to show current date.
  • =IF([@[Publish Date]]="", "", [@].[Publish Date] + VLOOKUP([@Type], ContentTypes!A:B, 2, FALSE)): Calculates “Next Review Due” based on type (e.g., Blog = +90 days, Social Post = +30 days).
  • =IF([@[Last Updated]] > [@].[Publish Date], "Updated", "Original"): Flags if content has been revised.
  • =IF(TODAY() >= [@[Next Review Due]], "URGENT", IF(TODAY() >= [@[Next Review Due]]-7, "Soon", "")): Highlights upcoming reviews in red/yellow via conditional formatting.

Conditional Formatting

To enhance visual tracking:

  • Red Fill (URGENT): Cells in “Next Review Due” column turn red if due today or past due.
  • Yellow Fill (Soon): Turns yellow if due within 7 days.
  • Green Fill: Applies to rows with “Status” = Active and “Performance Score” ≥ 8.
  • Gray Text: Used for entries where Status = Archived, making them visually subdued.

  3. Update the “Last Updated” and “Maintenance Notes” fields: Every time you refresh content — whether fixing broken links or adding new data — record it here.
  4. Review weekly: Use the dashboard to scan for "URGENT" items. Dedicate 15 minutes per week to updating outdated entries.
  5. Use dropdowns consistently: This ensures data integrity for filtering and reporting.
  6. Archive old content wisely: If a piece is no longer relevant, change its status to “Archived” — don’t delete it. You might need it later for inspiration or audit purposes.
