Formulas Required

  • In the Budget Tracker’s "Actual Spend ($)" column, use: =SUMIFS(ContentCalendar[Estimated Cost ($)], ContentCalendar[Budget Category], [@Budget Category]). This dynamically sums all content costs linked to each category.
  • For "Variance ($)": =[@Monthly Allocation] - [@Actual Spend ($)]
  • For "% Utilized": =[@[Actual Spend ($)]] / [@[Monthly Allocation]], formatted as percentage.
  • In the Summary Dashboard, use:
    • Total Budgeted: =SUM(BudgetTracker[[#All],[Monthly Allocation]])
    • Total Spent: =SUM(BudgetTracker[[#All],[Actual Spend ($)]])
    • Remaining Balance: =Total Budgeted - Total Spent
    • Content Count: =COUNTA(ContentCalendar[Content Title])

Conditional Formatting

  • In the Budget Tracker, apply red fill to "% Utilized" cells > 90% to flag overspending risks.
  • Apply yellow fill to "% Utilized" between 75%–89% as a warning zone.
  • Apply green fill for % Utilized below 75%, indicating healthy budget usage.
  • In the Content Calendar, highlight rows with "Status = Delayed" in orange and "Published" in light blue for quick visual scanning.

Instructions for the User

  1. Set Your Budget: In the Budget Tracker sheet, enter your total monthly allocation per category based on prior spending or projected needs.
  2. Plan Content: In Content Calendar, fill in each planned content piece with its date, title, type, channel, owner, status and estimated cost. Use dropdowns for consistency.
  3. Update Weekly: Update the "Status" column as content progresses. Adjust “Estimated Cost” if actual costs change before spending occurs.
  4. Review Dashboard: Check the Summary Dashboard weekly to monitor total spend, remaining funds, and content volume. Use color codes in Budget Tracker to identify budget overruns.
  5. Adjust Strategy: If you’re nearing 90%+ utilization in a category (e.g., Freelancer Fees), consider delaying lower-priority items or reallocating from underused categories.

Recommended Charts or Dashboards

The Summary Dashboard should include:

  • A horizontal bar chart comparing Monthly Allocation vs. Actual Spend by category.
  • A pie chart showing the percentage distribution of total spend across categories.
  • A simple KPI card displaying: “Remaining Budget: $XXX” and “Content Pieces This Month: XX”.

These visual elements are intentionally kept basic to align with the template’s purpose—clarity over complexity. No Power Query or pivot tables are used, ensuring compatibility with all Excel versions.

Why This Template Works for Content Planning + Monthly Budget (Basic)

This template successfully merges the strategic goals of content planning—with dates, channels, owners, and statuses—with the financial discipline of a monthly budget. The "Basic" design ensures minimal learning curve: no macros, no external APIs, and no dependencies on cloud services. It’s ideal for solopreneurs or teams without dedicated analysts who still need to justify content spending to stakeholders. By linking estimated costs directly from content entries into budget totals via formulas, users eliminate manual data entry errors while maintaining full control over their financial narrative.

Use this template as your monthly ritual: plan your stories, track your spend, and stay creatively funded—without the noise.
