Excel Template: Content Planning - Monthly Planner (Planning View)

This comprehensive Excel template is designed specifically for digital marketers, content creators, social media managers, and editorial teams who need a structured yet flexible system to plan, organize, and track their content calendar on a monthly basis. The Content Planning focus ensures alignment with strategic goals; the Monthly Planner structure provides a clear timeline for scheduling; and the Planning View style emphasizes forward-looking organization over reactive tracking—making it ideal for proactive content teams.

SHEET NAMES

  • Main Calendar: The central hub displaying all planned content for the month in a visual grid format.
  • Content Database: A master reference table containing all content assets, metadata, and status updates.
  • Channels & Platforms: Lists all distribution channels (e.g., Instagram, Blog, Newsletter) with performance benchmarks and posting frequencies.
  • Goals & KPIs: Tracks monthly objectives such as engagement targets, traffic goals, and conversion metrics tied to content.
  • Templates & Resources: Contains reusable content templates (e.g., blog outlines, caption formats) and asset links.

TABLE STRUCTURES

All tables are formatted as Excel Tables (Ctrl + T) to enable dynamic referencing, structured formulas, and automatic expansion.

FORMULAS REQUIRED

  • =COUNTIFS(MainCalendar[Status], "Published", MainCalendar[Date], ">="&EOMONTH(TODAY(),-1)+1, MainCalendar[Date], "<="&EOMONTH(TODAY(),0)) — Counts published content this month.
  • =IF(TODAY()>MainCalendar[@Due Date],"OVERDUE",IF(TODAY()+3>=MainCalendar[@Due Date],"DUE SOON","OK")) — Conditional status indicator in Content Database.
  • =TEXTJOIN(", ",TRUE,UNIQUE(FILTER(ContentDatabase[Platform],ContentDatabase[ID]=MainCalendar[@ID]))) — Pulls platform data from master DB into Main Calendar (requires Excel 365).
  • =SUMPRODUCT((ContentDatabase[Status]="Published")*(ContentDatabase[Priority]="High")) — Counts high-priority published content.

CONDITIONAL FORMATTING

  • Status Colors: “Planned” = Light Blue; “In Progress” = Yellow; “Published” = Green; “Delayed/Cancelled” = Red.
  • Date Highlighting: Dates in the past with status ≠ Published are highlighted in orange.
  • Priority Flags: Rows tagged "High Priority" have bold text and a red border on the left edge.
  • Campaign Tags: Identical campaign tags auto-highlight with matching fill color for visual grouping (using helper column + conditional formatting rule).

INSTRUCTIONS FOR THE USER

  1. Set up the month: In cell B1 of Main Calendar, enter the desired month (e.g., “March 2025”). The template auto-populates all dates.
  2. Add content: Fill in rows in Main Calendar or use Content Database — both sync via formulas. Prefer adding new items to Content Database for consistency.
  3. Assign owners: Use dropdowns to assign tasks. Team members should update status daily.
  4. Track goals: On the Goals & KPIs sheet, enter targets (e.g., “Blog traffic: 10K visits”). The dashboard updates automatically.
  5. Review weekly: Use the visual calendar to identify gaps (e.g., no social content on weekends) or overloads.
  6. Export or share: Protect sheets if sharing externally. Use “Print Area” to export a printable calendar view.
