The "Budget Allocation" sheet contains a summary of monthly or campaign budgets, broken down by content type and team member. It uses SUMIFS formulas to aggregate costs from the main table.

FORMULAS REQUIRED

  • =SUMIF(ContentTasks!F:F, "Completed", ContentTasks!H:H) — Sum total paid content costs.
  • =IF(G2<>"", G2*I2, "") — Calculates cost only when hours are entered.
  • =SUMIFS(BudgetAllocation!C:C, BudgetAllocation!B:B, A3) — Aggregates spending by content type on Dashboard.
  • =IF(J2="Yes", IF(K2="No", "Pending Approval", "Paid"), "N/A") — Dynamic payment status logic.
  • =DATEDIF(TODAY(), D2, "d") — Shows days until deadline (used in conditional formatting).

CONDITIONAL FORMATTING

  • Overdue Tasks: Red background if “Planned Date” is past and Status ≠ Completed.
  • Budget Alert: Yellow fill in Budget Allocation sheet when total spent > 85% of budget.
  • Paid Indicators: Green highlight on "Paid?" column if value = "Yes".
  • High Cost Tasks: Orange border for tasks exceeding $1,000 in estimated cost to flag high-value items.

INSTRUCTIONS FOR THE USER

Client View Guidelines:

  1. This template is intended for CLIENTS only. Do NOT edit any cells in columns marked as “Internal Use Only” (e.g., internal notes or vendor IDs).
  2. Update the "Paid?" column to reflect invoice settlement status after payment.
  3. Use the dropdown menus — do not manually type into Status, Type, or Client Approval fields.
  4. Monthly reports auto-generate on the Dashboard Overview. Refresh data by pressing F9 if edits are made.
  5. All figures displayed reflect only approved and completed tasks. Pending items appear as "estimated" costs but are not billed until marked as Completed AND Paid = Yes.
