Revenue Sources & Expense Categories
These sheets use structured tables to categorize income streams (e.g., affiliate commissions, ad revenue, sponsorships) and expenses (e.g., Canva Pro, hosting fees, software). Each row includes a monthly total calculated via SUMIF formulas tied to the Budget Tracker.
Formulas Required
- =SUMIFS(BudgetTracker!D:D,BudgetTracker!C:C,"Income",BudgetTracker!A:A,">="&EOMONTH(TODAY(),-1)+1,BudgetTracker!A:A,"<="&EOMONTH(TODAY(),0)) — Calculates monthly income from the Budget Tracker.
- =SUMIF(ExpenseCategories!B:B,“Content Tools”,BudgetTracker!D:D) — Sums all content-related expenses.
- =IF(ISBLANK(ContentCalendar!F2), "", IF(ContentCalendar!F2="Published", "✅", "⏳")) — Auto-creates status icons based on content state.
- =AVERAGEIFS(ContentCalendar!I:I,ContentCalendar!H:H,">0") — Calculates average actual engagement per published piece.
- =IF(D2<0,ABS(D2)*0.1,"") — Auto-calculates 10% of expenses as suggested savings for content reinvestment.
Conditional Formatting Rules
- Content Calendar - Status Column: Green if “Published”; yellow if “Scheduled”; red if “Idea Only”.
- Budget Tracker - Amount Column: Red for expenses > $500; green for income over $1,000.
- Monthly Summary - ROI vs Budget: Cell turns orange if Actual Engagement is below 75% of Estimated ROI.
- Dashboards - Savings Rate: Red if savings rate (savings/income) is under 10%; green if over 20%.
User Instructions
- Start by entering your monthly income and fixed expenses in the Budget Tracker.
- Allocate a percentage (recommended: 5–15%) of your net income to “Content Tools” as a content investment fund.
- In the Content Calendar, plan your weekly/monthly content pieces and assign budget allocations from your “Content Tools” line item.
- After publishing, update the actual engagement metrics to track performance.
- Review the Dashboard weekly — it shows if you’re overspending on content or under-investing in high-performing platforms.
- Every month, use the Monthly Summary sheet to assess ROI: Which content types gave highest returns? Were your budget assumptions accurate?
