Content Planning Profit Tracker — Personal Use Excel Template

This Content Planning Profit Tracker is a meticulously designed Excel template tailored for personal use, empowering content creators, bloggers, YouTubers, podcasters, and independent digital marketers to track not only what content they produce but also the financial return on each piece. Unlike generic planning tools, this template uniquely integrates revenue metrics with editorial schedules — transforming your creative workflow into a data-driven profit engine. By aligning your content planning calendar with actual earnings data, you’ll identify which topics, formats, and platforms generate the highest ROI — enabling smarter decisions for future content.

Formulas Required

  • H2: =F2-G2 — Calculates profit.
  • I2: =IF(G2>0,(H2/G2)*100,0) — Calculates ROI safely to avoid #DIV/0 errors.
  • J2: =IF(ISNUMBER(F2/E2),G2/(F/E), "") — Estimates break-even point using revenue per thousand views (assumes you input CPM in a separate settings cell).
  • All title/type/platform/date columns in Profit Tracker use =VLOOKUP(A2,ContentCalendar!$A:$G, 2, FALSE) to auto-populate from the Content Calendar.

Conditional Formatting

  • Profit Column (H): Green if > $50, Yellow if $1–$50, Red if ≤ $0.
  • ROI Column (I): Green if > 200%, Orange 50%–200%, Red below 50%.
  • Date Published (E): Highlighted in light blue if date is past due and status is “Planned” or “In Progress.”
  • Costs > $150: Red background to flag high-cost content requiring justification.

Instructions for the User

  1. Start by populating the Content Calendar with your planned content — include titles, platforms, and target dates.
  2. As each piece is published, update its status to “Published.”
  3. In the Profit Tracker sheet, enter revenue and associated costs for each published item using the same ID or title to auto-populate metadata.
  4. Update your CPM (cost per thousand views) in cell Z1 of the "Dashboards" tab for accurate break-even calculations.
  5. Review the Dashboard weekly to identify top-performing formats and platforms. Double down on what’s profitable; reconsider underperformers.
  6. At month-end, use filter functions to analyze total profit by platform or content type. This informs your next month’s planning cycle.
