A reservoir for spontaneous ideas. Columns include: Idea ID, Topic, Category, Date Added, Status (Active/Archived), and Potential Date for Use.

3. Timeline Overview

A high-level Gantt-style bar chart generated via conditional formatting and stacked bars (see below) to visualize the timeline of upcoming content across weeks/months.

4. Status Dashboard

Pull-based summary sheet that aggregates metrics from Content Calendar using formulas.

Formulas Required

  • =COUNTIFS(ContentCalendar!E:E, "Published", ContentCalendar!A:A, ">="&TODAY()-30) — Counts published content in last 30 days.
  • =AVERAGE(ContentCalendar!H:H) — Average actual hours spent per piece.
  • =IF([@Priority] >= 4, "Urgent", IF([@Status]="Pending", "Waiting", "")) — Dynamic flag for high-priority pending items.
  • =IFERROR(VLOOKUP(A2, IdeaBank!$A:$F, 6, FALSE), "") — Auto-fills potential dates from Idea Bank when linking to calendar.
  • =SUMPRODUCT((ContentCalendar!E:E="Published")*(ContentCalendar!H:H)) — Total hours spent on published content.

Conditional Formatting Rules

  • Status Column: Green = Published; Blue = In Progress; Yellow = Pending; Gray = Archived.
  • Priority Column: Red fill for 5, Orange for 4, no fill below 3.
  • Date Column: Highlight dates within next 7 days with light yellow background — "Upcoming Soon".
  • Efficiency Ratio (Actual vs Estimated): If Actual Hours > Estimated Hours x1.5, highlight row in light red to indicate overruns.

User Instructions

  1. Start by populating the Idea Bank with any content sparks you have — don’t filter, just capture.
  2. Each week, select 3–7 ideas from the bank and drag them into the Content Calendar, assigning a date and priority.
  3. Update the “Status” as you progress. Use dropdowns to maintain consistency (enable via Data Validation).
  4. Track time honestly in “Actual Hours.” This helps refine future estimates.
  5. At month-end, review the Status Dashboard: Are you publishing consistently? Are some formats taking too long?
  6. Archive used ideas in the Idea Bank to keep it clutter-free but searchable.
