Formulas Required

  • In the Shopping List, the “Total Cost” column uses: =Cost * Quantity
  • In Dashboard, total spending: =SUM(ShoppingList[Total Cost])
  • Count of scheduled content: =COUNTIF(ContentPlanner[Status], "Scheduled")
  • Dynamic count of pending items in Shopping List: =COUNTIFS(ShoppingList[Status], "Pending")
  • VLOOKUP or XLOOKUP to auto-fill “Linked to Content” when a resource is added to the Content Planner's Required Resources column.

Conditional Formatting

  • Content Status: Green = Published, Blue = Scheduled, Yellow = Draft, Red = New.
  • Shopping List Status: Green = Purchased, Orange = Pending, Gray = Cancelled.
  • Drafts overdue by more than 3 days: Highlight row in red.
  • Total cost exceeding budget (set in Dashboard): Highlight cell in red.

Instructions for the User

  1. Start by populating the “Categories & Tags” sheet with your preferred content types and resource categories to ensure dropdown consistency.
  2. In “Content Planner,” add each planned piece of content, assigning a priority (1-5), deadline, and required resources. Separate multiple items with commas in “Required Resources.”
  3. Switch to the “Shopping List” sheet. Add every item needed — from software licenses to stock photos or printing services. The “Linked to Content” column will auto-populate based on your entries in Content Planner.
  4. Update Status regularly: mark items as Purchased or Published. The Dashboard updates automatically.
  5. To add new content types or categories, simply edit the reference sheet — no formula reconfiguration needed!
