Sheet Names
The template contains two sheets:
- Content Planner — The main working sheet where all items are logged, tracked, and completed.
- Dashboards — A visual summary sheet with charts and KPIs to monitor weekly/monthly content output.
Table Structure & Columns (Content Planner Sheet)
The core table on the “Content Planner” sheet includes six structured columns:

Formulas Required
The template uses the following formulas to automate tracking:
- In cell F2 (Completed?):
=IF(D2="Published","Yes","No")— Automatically checks off the item when status is updated to Published. - In cell I1 (Weekly Total):
=COUNTIF(D:D,"Published")— Counts total published content items this week. - In cell J1 (Pending):
=COUNTIFS(D:D,"<>Published",D:D,"<>")— Counts all unfinished items. - In cell K1 (On Time):
=SUMPRODUCT((D2:D100="Published")*(C2:C100<=TODAY()))— Tracks how many items were published by or before their due date.
Conditional Formatting Rules
To enhance visual clarity:
- Status Column (D): Green = Published, Yellow = In Progress, Orange = Ready for Review, Gray = Not Started.
- Due Date Column (E): Red background if date is past today and Status ≠ Published; Green if due date is within 3 days and status ≠ Published.
- Title Column (B): Bold text when “Completed?” = Yes, to visually separate completed items.
User Instructions
To use this template effectively:
- Open the "Content Planner" sheet and begin logging your content ideas in Column B (Title). Be specific — instead of “blog post,” write “7 Tips for Growing Your Email List in 30 Days.”
- Select a Content Type from the dropdown menu (Column C). This helps you analyze which formats perform best.
- Assign a realistic Due Date (Column E) based on your content calendar. Avoid overloading one week.
- Update Status (Column D) as you progress: start with “Not Started,” then move to “In Progress” when drafting, then “Ready for Review” before publishing.
- When published, set Status to “Published.” The checkbox in Column F will auto-fill.
- Switch to the "Dashboards" sheet weekly to see your visual summary: bar charts of content types and a line graph showing output over time.
- At the end of each month, review your “On Time” metric. If it’s low, adjust your planning process.
