Advanced Content Planning & Stock Control Excel Template
This advanced Excel template is a powerful, integrated solution designed for digital marketing teams, content agencies, and e-commerce businesses that require synchronized tracking of both content planning cycles and real-time stock control. Unlike generic content calendars or inventory trackers, this template merges editorial workflows with product availability data to prevent mismatches between planned promotions and actual inventory levels. This synergy ensures that high-performing content does not lead to customer dissatisfaction due to stockouts—or wasted marketing spend on out-of-stock products.
Sheet Structure
The template is built across six interconnected sheets, each serving a critical function in the content-planning and stock-control lifecycle:
- Content Calendar: The central hub for scheduling all content types (blogs, social media posts, videos, emails).
- Inventory Master: A live database of all SKUs with real-time stock levels and reorder triggers.
- Product-Content Linking: Cross-references products with planned content pieces to enforce inventory alignment.
- Stock Alerts & Reorder Dashboard: Visual dashboard monitoring low-stock items and auto-generating reordering recommendations.
- Performance Tracker: Measures content engagement against inventory turnover rates for ROI analysis.
- Settings & Parameters: User-configurable thresholds, lead times, and content priorities.

Key Formulas
- In the Content Calendar, Inventory Risk Score:
=IF([@[Current Stock Level]]<([@Expected Traffic Increase %]/100)*[Inventory Master]!$F$2, "CRITICAL", IF([@[Current Stock Level]]<[Inventory Master]!$E$2, "LOW", "OK"))
This formula dynamically evaluates if the planned content surge will deplete stock below safety levels. - In Inventory Master, Reorder Recommended?:
=IF(AND([@Current Stock Level]<=([@Safety Stock Level]*1.2), [@Lead Time]>3), "YES", "NO") - In Product-Content Linking: VLOOKUP and INDEX/MATCH functions link product names from Inventory Master to content titles for dynamic validation.
Conditional Formatting Rules
- Content Calendar – Inventory Risk Score:
- CRITICAL: Red fill
- LOW: Yellow fill
- OK: Green fill - Inventory Master – Current Stock Level:
Highlight cells below Safety Stock Level in red. Cells exceeding 200% of safety stock turn light blue to indicate overstock risk. - Product-Content Linking:
If a product listed in content is marked "Discontinued" or has zero stock, the row flashes with blinking animation (via VBA-enabled conditional formatting).
User Instructions
- Begin by populating the Inventory Master sheet with your full SKU catalog and setting safety stock levels based on historical sales and lead times.
- In Settings & Parameters, define average traffic-increase percentages per content type (e.g., Instagram posts = 15%, email campaigns = 30%).
- When creating a new content item in the Content Calendar, use the dropdown to select target product(s). The template will auto-populate current stock and risk scores.
- Review the Stock Alerts & Reorder Dashboard weekly. Any product marked "YES" for reorder should trigger a purchase order within 24 hours.
- Update Current Stock Level manually or connect via Power Query if using a warehouse management system (WMS).
- Do not delete rows in Inventory Master—use the “Archive” column to deprecate discontinued items.
