Formulas Required

  • In Stock_Inventory!E2 (Quantity_Reserved): =SUMIFS(Content_Schedule!F:F, Content_Schedule!E:E, D2, Content_Schedule!G:G, "<>Published", Content_Schedule!G:G, "<>Delayed") — sums all required quantities for the current asset type where status is not Published or Delayed.
  • In Stock_Inventory!F2 (Quantity_Left): =C2-D2 — available minus reserved.
  • In Content_Schedule!H:H (Status Auto-Update): Uses IF formulas to change status to “Delayed” if Publish_Date is past and Status ≠ Published, or “Ready” if Quantity_Left ≥ Asset_Quantity_Needed.

Conditional Formatting

  • Stock_Inventory: If Quantity_Left ≤ 0 → Red fill. If ≤ 5 → Yellow fill. Green if >10.
  • Content_Schedule: Publish_Date past today and Status ≠ Published → Red border. Status = “Ready” and Client_Approval = “No” → Orange highlight.

Instructions for the User

Begin by populating the Settings sheet with asset categories and client preferences. In Stock_Inventory, input all available assets with accurate quantities and expiry dates. Use Content_Schedule to plan content 30–60 days ahead, linking each item to its required asset type and quantity. The system will automatically calculate reserves and flag shortages. When ready, generate the Client_View by clicking the “Update Client Dashboard” button (a simple macro or Power Query refresh). Clients receive only this sheet—it hides internal logistics but shows clear content calendars with “Available”/“Limited” indicators next to each asset type. Never edit Client_View directly.
