Formulas Required

  • In Content Pipeline!E2:E100: =SUMIFS(StockLedger!E:E, StockLedger!B:B, ContentPipeline!A2) – Calculates current stock by summing all quantity changes linked to the ID.
  • In Content Pipeline!F2:F100: Default value of 3 (configurable per asset).
  • In Content Pipeline!G2:G100: =NOW() triggered by data entry via VBA or manually updated.
  • In Dashboards!B2: =COUNTIF(ContentPipeline!D:D,"Published") – Tracks published content count.
  • In Dashboards!B3: =SUMIF(ContentPipeline!E:E,"<",ContentPipeline!F:F) – Alerts how many items are below threshold.

Conditional Formatting

  • Stock Below Threshold: Cells in column E (Stock Available) turn red if value < column F (Minimum Threshold).
  • Pending Content: Rows with Status = “Idea” or “Planned” and Target Date > today’s date highlight in light yellow.
  • Overdue Content: Rows where Status ≠ “Published” and Target Date is past turn red.
  • New Stock Alert: Any row in the Stock Ledger with Action = “Restocked” highlights green with a bold font.

User Instructions

How to Use This Template:

  1. Start by populating the Content Pipeline sheet with your planned content items, assigning realistic stock levels (e.g., 10 versions of a template).
  2. Each time you create a new asset, record it in the Stock Ledger with “Created” and positive quantity. Each time you use it (e.g., publish), log “Used” with -1.
  3. The dashboard will auto-update to show stock trends and overdue items.
  4. When any item’s stock falls below its minimum threshold, the row turns red — trigger a new production task immediately.
  5. Use the dropdowns for consistency. Avoid manual entry in calculated columns (E, G).

  • Pie Chart: Distribution of content types (Blog, Video, etc.) currently in stock.
  • Bar Chart: Monthly production vs. usage trend (sum of “Created” and “Used” from Stock Ledger).
  • Gauge Meter: Overall stock health (% of items above threshold).
  • Table Summary: Top 5 low-stock items with red alerts.
