Formulas Required

  • In Asset Inventory: =Total Quantity - SUMIFS(Usage Log!$E:$E, Usage Log!$B:$B, [Asset ID]) → Calculates Available stock dynamically.
  • In Content Calendar: IF([Status]="Scheduled", COUNTIFS(Asset Inventory!$A:$A, SEARCH([Required Assets], Asset Inventory!$A:$A), Asset Inventory!$G:$G, "<=0"), "Insufficient Stock") → Flags content plans lacking available assets.
  • In Dashboards: SUMPRODUCT((Content Calendar!$D:$D="Published")*(Content Calendar!$I:$I>=TODAY()-30)) → Tracks published content in last 30 days.

Conditional Formatting

  • Red Fill: If “Available” in Asset Inventory ≤ 1 AND “Expiry Date” ≤ TODAY() + 7 → Urgent restock/renewal needed.
  • Yellow Fill: If Content Calendar “Required Assets” column has entries but corresponding asset’s “Available” = 0 → Content plan at risk.
  • Green Fill: If content status is “Published” and date is within last 7 days → High-performing recent output.
  • Bold Text: If “Priority” = 5 in Content Calendar → Highlights mission-critical campaigns.

User Instructions

  1. Begin by populating the Asset Inventory with all current digital/physical assets. Use unique IDs and ensure expiry dates are accurate for licenses.
  2. Update the Usage Log every time an asset is used, even if it’s reused internally (e.g., a logo in two emails).
  3. When planning new content in the Content Calendar, enter required assets. The template will auto-check stock levels and flag shortages.
  4. Review the Dashboards & Alerts sheet weekly: red alerts require immediate action; yellow alerts are warnings.
  5. All users must update their name under “User Who Accessed” to maintain accountability—essential for Office Use compliance audits.
  6. Do not delete rows in the Usage Log. Instead, archive old data using the "Archive" button macro (if enabled).
