List of Content Calendar Titles that reference this asset.

FORMULAS REQUIRED

  • In the Content Calendar, column “Status” uses a simple IF formula to highlight delayed tasks: =IF(TODAY()>[Deadline] AND [Status]<>"Published", "Delayed", [Status])
  • In the Stock Inventory, the “Used In Content” column pulls data dynamically from the Content Calendar using a TEXTJOIN and IF combo (array formula): =TEXTJOIN(", ",TRUE,IF(ISNUMBER(SEARCH(A2,ContentCalendar!E:E)),ContentCalendar!B:B,"")) *(Note: This requires Excel 365 or 2019+ for dynamic arrays. CONDITIONAL FORMATTING

  • Status Column (Content Calendar): Green = Published, Yellow = In Progress / Review, Red = Delayed.
  • Quantity Available (Stock Inventory): - Red fill if ≤ 1 - Orange fill if ≤ 3 - Green fill if ≥ 5
  • Date Column (Content Calendar): Highlight dates within the next 3 days with light blue background for urgency.
  • Dashboard KPIs: Use icon sets (traffic lights) for completion rate and stock alerts.

INSTRUCTIONS FOR THE USER

  1. Begin by populating the Stock Inventory sheet with all assets you own — even unused ones. Assign unique IDs and current quantities.
  2. In Content Calendar, schedule your content. When a post requires an asset (e.g., “Summer Promo Banner”), enter its Asset ID in the “Awaiting Asset(s)” column.
  3. Update the Status daily. As soon as a piece is published, mark it and check if any assets were consumed.
  4. When an asset is used up, reduce its Quantity Available manually. The system will auto-update “Used In Content.”
  5. Check the Dashboard weekly for red warnings — these indicate critical shortages before upcoming deadlines.
  6. Do not delete rows. Archive old entries by moving them to a backup sheet if needed.
