Formulas Required
- In Digital Asset Stock, column “Available Stock” uses: =TotalStock - InUse (with structured references).
- In Content Calendar, column “In Use” in the asset stock sheet is updated via COUNTIFS: =COUNTIFS([Asset ID(s)], "*"&[Asset ID]&"*", [Status], "Approved") — dynamically counting how many times an asset appears across approved content items.
- In Dashboard Summary, total active assets: =SUM(Digital Asset Stock[Available Stock]) > 0.
- Conditional formula in “Status” column flags low stock: IF([Available Stock] ≤ 1, "CRITICAL", IF([Available Stock] ≤ 3, "LOW", "OK")) — used to trigger alerts.
Conditional Formatting
- In Digital Asset Stock, “Available Stock” column: Red fill if ≤1, Yellow if 2–3, Green if ≥4.
- In Content Calendar, rows with “Status = Draft” for over 7 days are highlighted in light orange to indicate delays.
- If an asset’s “Expiry Date” is within the next 15 days, its row in the Asset Stock sheet turns pink.

Instructions for the User

- Never delete asset entries; archive expired items manually and update Expiry Date. The system will auto-flag them.
