Compact Content Planning Supply List Excel Template
This Compact Content Planning Supply List Excel template is a streamlined, highly functional tool designed for content creators, marketers, and editorial teams who need to efficiently track and manage the materials required to execute their content calendar. Unlike bloated templates that overwhelm users with unnecessary fields, this version prioritizes clarity, speed, and minimalism — making it ideal for small teams or individuals managing multiple platforms (blog, social media, email newsletters) under tight deadlines.
Sheet Names
The template contains three meticulously organized sheets:
- Supply List: The core data entry sheet where all content-related supplies are logged.
- Content Calendar: A monthly overview linking planned content pieces to their required supplies.
- Dashboards: A visual summary with charts and KPIs for quick performance insights.
Table Structures & Columns
The Supply List sheet contains a single structured table named “tbl_SupplyList” with the following columns:
| Column Name | Data Type | Description |
|---|---|---|
| ID | Number (Auto-increment) | Unique identifier assigned automatically via ROW()-1. |
| Content Topic | Text | Name of the content piece (e.g., “Q3 Social Media Campaign”). |

| Platform | Text (Dropdown: Instagram, LinkedIn, Blog, YouTube) | Where the content will be published. |
| Status | ||
| Date Planned | ||
| Due Date | ||
| Required Supplies | ||
| Supplier/Resource | ||
| Cost ($) | ||
| Purchased? | ||
| Notes |
Formulas Required
- In column
ID:=ROW()-1— Automatically assigns sequential IDs as new rows are added. - In column “Days Until Due”:
=IF([@Due Date]="","",[@[Due Date]]-TODAY())— Calculates remaining days until deadline; negative values indicate overdue items. - In column “Total Cost by Type”: On the Dashboard sheet, use:
=SUMIFS(SupplyList[Cost ($)], SupplyList[Type], "Video")to aggregate spending per content type. - In “Overdue Count”:
=COUNTIFS(SupplyList[Due Date], "<"&TODAY(), SupplyList[Status], "<>Published")— Counts overdue items not yet published.
Conditional Formatting
To enhance visibility in the Compact Design:
- Overdue Items (Red): Apply to “Due Date” column: =AND([@[Due Date]]<TODAY(), [@Status]<>"Published")
- High Cost Items (Yellow): Apply to “Cost ($)”: =[@[Cost ($)]]>100
- Purchased Status (Green): Apply to “Purchased?”: =[@[Purchased?]]="Yes"
- Unassigned Items (Gray): Apply to “Content Topic”: =[@[Content Topic]]="" OR [@Type]="Not Started"
User Instructions
To use this template:
- Open the Supply List sheet. Begin by filling in your content topics and planned dates.
- Use dropdowns for Type, Platform, Status, and Purchased? — they prevent entry errors.
- Add required supplies as bullet points in the “Required Supplies” column. Keep descriptions concise to maintain compactness.
- Update status daily. Mark items as “In Progress,” then “Published.” The Dashboard auto-updates with these changes.
- Check the Dashboards sheet weekly for spending trends and overdue items. Use filters to view data by platform or content type.
- To add new entries, simply press Tab at the bottom row — Excel’s structured table will auto-expand.
