Printable Content Planning Supply List Excel Template

This comprehensive Printable Content Planning Supply List Excel template is designed for content creators, marketers, social media managers, and editorial teams who need a structured yet flexible system to plan, organize, and track all physical and digital resources required to execute their content strategy. Unlike generic planning tools that focus only on publishing schedules or ideas, this template uniquely integrates the concept of a Supply List—a detailed inventory of materials needed to produce each piece of content—making it indispensable for teams managing complex workflows across blogs, videos, podcasts, print media, and live events. The entire template is optimized for Printable output: clean layouts, minimal color usage (for ink efficiency), logical grouping of data, and clear headers ensure effortless printing on standard paper sizes.

Sheet Names

The template consists of four structured sheets:

  • Supply List: Core inventory sheet listing all tangible and digital assets required for each content piece.
  • Supplier Tracker: Tracks vendors, contact info, lead times, and order status for purchased supplies.
  • Dashboards & Reports: Summary view with charts, KPIs, and printable summary pages.

Formulas Required

  • Total Cost ($): =D2*E2 (Quantity * Unit Cost) — applied across all supply rows.
  • Grand Total Supply Cost: =SUM(G:G) on Dashboard sheet for overall budget tracking.
  • Count of Unresolved Items: =COUNTIFS(J:J,"<>Received",J:J,"<>N/A") to highlight pending orders.
  • Conditional Status: Uses IF formulas to auto-tag items as “Urgent” if Date Needed is within 3 days and Purchase Status ≠ Received.

Conditional Formatting Rules

  • Urgent Items (Red Highlight): Cells in column J marked “Ordered” or “Not Started” with Date Needed ≤ TODAY()+3 are highlighted red.
  • Completed Items (Green Fill): Rows where Purchase Status = "Received" or "N/A" have light green background for visual completion tracking.
  • Over-Budget Items: If Total Cost > $50 per item, cell turns orange as a warning.
  • Missing Date Needed: Blank cells in column J turn yellow to prompt data entry.

User Instructions

Begin by entering your content schedule on the “Content Calendar” sheet, including publish dates and titles. Then navigate to “Supply List” and link each item using the Content ID field. For every piece of content, list all necessary supplies—from physical items like printed brochures or branded pens to digital assets like stock images or Canva templates. Use dropdowns for Type and Purchase Status to maintain consistency. Update Supplier Tracker when placing orders; the template auto-creates reminders via conditional formatting if an item is due soon. Print the “Dashboards & Reports” sheet for weekly team meetings—this includes a summary table of costs, supply types by category, and a checklist of pending items formatted in two-column layout for easy ink-efficient printing.
