Key Formulas

  • =VLOOKUP([@Content_ID], ContentCalendar!$A:$I, 7, FALSE): Pulls publish date into Due Date column to auto-schedule tasks relative to content release.
  • =IF([@[Due Date]]: Flags overdue or at-risk tasks.
  • =COUNTIFS(TaskManager!$E:$E, "Done", TaskManager!$A:$A, [@ID])/COUNTIF(TaskManager!$A:$A, [@ID]): Calculates % completion per content item for Status Dashboard.

Conditional Formatting Rules

  • Red fill: Tasks with “OVERDUE” status or Due Date older than today and Status ≠ Done.
  • Yellow fill: Tasks due within 2 days and Status = “In Progress”.
  • Green fill: Tasks marked “Done”.
  • Bold text + blue border: High-priority content items on the Content Calendar.
  • Color-coded bars in Estimated vs Actual Hours column: Green if ≤ estimate, red if >120% of estimate.

User Instructions

HOW TO USE THIS TEMPLATE:

  1. Start by populating the Team Members sheet with all contributors, roles, and max weekly capacity (to avoid over-allocation).
  2. In the Content Calendar, add all upcoming content pieces with target dates and priority levels.
  3. Use the Task Manager to break down each content item into granular tasks. Assign each task to a team member using dropdowns—DO NOT TYPE names manually.
  4. Update task status daily by selecting from dropdowns. The dashboard updates automatically.
  5. To archive completed content, click “Archive” button (VBA-assisted) which copies published items to the Archive sheet and clears them from active view.
  6. Review the Status Dashboard weekly during team syncs. Use filters to view tasks by person, priority, or overdue status.

WARNING: Do not delete or reorder columns. All formulas and validations are column-dependent. If you need to add a new task type, update the “Type” dropdown list in Data Validation settings.
