Formulas Required
- In the Time Tracker sheet: Use VLOOKUP or XLOOKUP to auto-fill “Category” and “Estimated Hours” from the Content Calendar using the “Title” as a key.
- In the Monthly Summary sheet: SUMIF to calculate total hours spent per category, per person, and per priority level.
- Use COUNTIFS to count completed vs. pending content items by status.
- Calculate % of Estimated Hours Used: =SUM(Time Tracker!Hours Spent)/SUM(Content Calendar!Estimated Hours) — displayed on Dashboard as a KPI.
- Conditional formulas for “On Track” status: If Status = “Published” AND Hours Spent ≤ Estimated, show green checkmark; else if over budget, highlight in red.
Conditional Formatting
- In Content Calendar: Highlight rows where Deadline is within 3 days as orange; past deadline and not published = red.
- In Time Tracker: Highlight hours spent exceeding estimated time in red, under 80% of estimate in green (efficiency indicator).
- On Dashboard: Use data bars for total hours per content category; color-scale gradient from yellow to red for priority levels.
Instructions for the User
- Set up your month: At the start of each month, update dates on the Content Calendar with all planned content. Assign owners and estimate time per task.
- Track daily: Each day, log work in the Time Tracker sheet. Use dropdowns for Category and select Title from auto-suggestions to maintain data integrity.
- Update status: As content moves from “Planned” → “Published,” update the Status column in Content Calendar. This triggers Dashboard updates.
- Review weekly: Check the Dashboard every Friday. If a category is consistently over budget, consider reallocating tasks or refining estimates.
- Archive monthly: At month-end, copy the entire sheet into an archive folder labeled “YYYY-MM_ContentPlan_Tracker.xlsx” for future reference and benchmarking.
