Formulas & Automation
The template leverages Excel’s powerful formula engine to reduce manual effort:
- =COUNTIFS(Status, "Completed") — Automatically tallies completed tasks monthly/yearly.
- =DATEDIF(Publish Date, TODAY(), "d") — Calculates days until or past deadline (used in conditional formatting).
- =VLOOKUP(Owner, TeamList!A:B, 2, FALSE) — Pulls team member contact info from a reference table.
- =IF(TODAY()>Publish Date AND Status<>"Completed", "Overdue!", "") — Flags missed deadlines in the Status column.
Conditional Formatting
To enhance visibility and urgency, conditional formatting is applied as follows:
- Red Background: Tasks past their publish date with status “To Do” or “In Progress”.
- Yellow Background: Tasks due within 3 days and not yet marked “Completed”.
- Green Background: All tasks marked “Completed”.
- Bold Red Text: Tasks with priority = “High” and status ≠ “Completed”.
User Instructions
- Begin by entering your team members’ names in the “Team List” tab. This populates dropdowns across all sheets.
- Use the "Content Calendar" sheet to map out quarterly themes and major campaigns.
- In "Monthly To-Do List", populate tasks at least one month in advance. Assign owners and priorities based on capacity.
- Update the Status column weekly (preferably every Monday) using the dropdown menu. This triggers automated updates in the Dashboard sheet.
- Use the “Notes” field to attach file names, links, or brief requirements (e.g., “Need SEO keywords from Sam”).
- Review the Status Dashboard on a monthly basis to identify bottlenecks and redistribute workloads.
- At year-end, export data to PDF for reporting and archive the template for next year’s version.
