Content Planning Warehouse Inventory – Employee View Excel Template

The Content Planning Warehouse Inventory – Employee View Excel template is a purpose-built, user-friendly tool designed for frontline warehouse staff and content coordinators to streamline daily inventory tracking while aligning with broader content planning goals. Unlike generic inventory systems, this template uniquely integrates product availability data with planned content release schedules—ensuring that warehouse operations directly support marketing campaigns, e-commerce launches, and customer fulfillment timelines. The “Employee View” interface prioritizes simplicity, clarity, and real-time usability for non-administrative users who need actionable insights without complex analytics.

  • Inventory Log – Core data entry sheet where employees record incoming/outgoing stock.
  • Content Calendar – Tracks upcoming content releases and associated inventory demands.
  • Daily Summary – Automatically generated dashboard displaying KPIs, alerts, and task priorities.
  • Product Master List – Reference table containing SKU details, categories, and content linkage codes.
  • Alerts & Tasks – Dynamic list of pending actions triggered by inventory shortages or content deadlines.

Formulas Required

  • In the Inventory Log, “Current Stock” column uses: =SUMIFS(InventoryLog[Quantity], InventoryLog[Product SKU], [@SKU], InventoryLog[Movement Type], "In") - SUMIFS(InventoryLog[Quantity], InventoryLog[Product SKU], [@SKU], InventoryLog[Movement Type], "Out")
  • “Status” column in Content Calendar uses: =IF(TODAY()>[Target Release Date],"Overdue", IF([Required Quantity]<=VLOOKUP([Campaign ID],'Inventory Log'!$A:$J,10,FALSE),"Active","Pending"))
  • “Alerts & Tasks” sheet uses an array formula to pull all campaigns where Required Quantity > Current Stock: =FILTER(ContentCalendar[[Campaign ID]:[Status]], ContentCalendar[Required Quantity] > INDEX(InventoryLog, MATCH(ContentCalendar[Linked SKU], InventoryLog[Product SKU], 0), MATCH("Current Stock", InventoryLog[#Headers], 0)), "No alerts")

Conditional Formatting

  • Red fill: Any product in “Inventory Log” with “Current Stock” less than 50% of “Required Quantity” from the Content Calendar.
  • Yellow highlight: Campaigns in “Content Calendar” with target date within 2 days and status = "Pending".
  • Green checkmark (icon set): Applied to “Status” column when “Completed.”
  • Bold text on Employee ID: If an employee logs more than 15 items in a day, their ID is bolded for recognition.

Instructions for the User

  1. Begin each shift by checking the “Alerts & Tasks” sheet for urgent inventory needs tied to content releases.
  2. Log all incoming and outgoing stock using the “Inventory Log.” Always select SKU from dropdown to avoid errors.
  3. If a product is being shipped for a specific campaign (e.g., a new product launch video), enter the corresponding Campaign ID in the field.
  4. Never leave “Content Campaign ID” blank if you’re moving items labeled for marketing use — this breaks content planning alignment.
  5. Refresh the dashboard by pressing F9 to update calculations. No macros are required.
  6. If you see a red alert, notify your supervisor immediately — this means content may be delayed due to stock shortage.
